Description

An Administrator II in Paterson, WA is available at Ste. Michelle Wine Estates (SMWE). The Administrative II role provides administrative support to the Customer Service team by reviewing distributor orders, shipment documentation, and order status for accuracy and timeliness. This position supports efficient order processing by maintaining records within our Enterprise Order Management System, monitoring freight and shipment issues, and assisting with customer service reporting to ensure smooth daily operations. The Administrator II position will follow a hybrid work schedule, allowing for up to two days each week to be spent working in the office. The role is structured around a standard five-day work week, offering a balance between on-site presence and remote work flexibility.

This is a temporary, projectbased position (approximately a 6month assignment; duration can remain variable as needed) and is not intended as a conversion-to-regular employment opportunity.

Administrator II job responsibilities include:



  • Compare ERP system order acknowledgment form to distributor PO for accuracy, noting any discrepancies so that Customer Service Rep responsible for Ship To location can make corrections to ERP sales order and advise distributors of issues in a timely manner.
  • Review pre-and-post shipment export documents for accuracy.
  • Manage office filing system for hard copy distributor order packets and/or the attaching of scanned copies within the corresponding JDE sales order header.
  • Review domestic distributor order status and alert Customer Service Rep of any issues or shipment delays.
  • Review SGWS Ryder portal and alert Customer Service Rep of any issues or orders that have been returned to 'open status' by customer/carrier.
  • As prepaid orders are shipped, review and confirm if freight correction is needed to ensure accurate invoicing to distributor.
  • Other duties as assigned.


Position Requirements:



  • High school Diploma or GED required.
  • 1+ years' experience with administrative support.
  • Possess a valid driver's license
  • Must be at least 21+
  • Ability to lift or move 35 pounds utilizing proper lifting techniques on a frequent basis.
  • Ability to sit, stand, and walk for extended periods (at least two hours straight, four times in an 8-hour day).
  • Ability to read, write, speak and understand English.
  • Must possess strong administrative and communication skills.
  • Skilled at multitasking and working independently with minimal supervision.
  • Ability to build positive relationships with peers and management to foster teamwork and collaboration.
  • Ability to follow instructions, respond to manager direction, and accept responsibility for assignments.
  • Demonstrated adherence to safety and security procedures and proper uses equipment and materials.
  • Demonstrated proficiency in Microsoft Word, Excel, and Outlook, with experience generating reports and managing schedules.
  • Experienced with Enterprise Order Management Systems software.
  • History of responsible use of alcohol and other appropriate conduct, as well as fitness to be licensed, permitted, and/or certified by state and/or local regulatory bodies.



Your Compensation:

$21.41 - $27.83/hr. based upon relevant experience.
