About the Role We are seeking a proactive and detail-oriented Administrative Assistant to support executives and their teams across the organization. This is a dynamic, in-office role that blends administrative excellence with project coordination, communication, and cross-functional collaboration. You'll play a key role in maintaining productivity, managing schedules, and supporting strategic initiatives-all while upholding the highest standards of professionalism and confidentiality.
Schedule: Monday-Friday, 8:00 AM-5:00 PM | Occasional evenings/weekends Key Responsibilities * Provide responsive support to executives, including calendar management, meeting coordination, and project assistance * Prepare agendas, meeting materials, minutes, and follow-up tasks to ensure operational efficiency * Create and edit presentations, reports, spreadsheets, and communications using Microsoft Office Suite * Maintain internal documentation and resources on SharePoint and the company intranet * Coordinate travel arrangements, meeting logistics, and event planning with cost-effective solutions * Process expenses, invoices, and budget variances; assist with contracts and vendor documentation * Communicate with internal and external stakeholders to drive project progress and resolve issues * Support large-scale event planning and execution, both in-person and virtual Qualifications * Associate's degree in a related field * Minimum 3 years of experience supporting executives in a fast-paced environment * Proficiency in Microsoft Office Suite (Outlook, PowerPoint, Excel, SharePoint, Visio) * Strong organizational, time management, and multitasking skills * Excellent written and verbal communication skills * High level of discretion, professionalism, and confidentiality Why Join Us? * Beautiful corporate campus featuring an onsite Starbucks, fitness center, gem gallery, and 24 Carat Cafe * Career growth opportunities with a clear path for advancement * Fun and engaging work environment with team-building events and professional development *Pay and Benefits* The pay range for this position is $25.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
