Division Secretary, Music


The Division of Music has an opening for a 10 month, full-time Division Secretary. This individual will provide administrative support for the Division of Music.


Reports to the Division Chair of Music


Bachelor's Degree preferred


  • Provide administrative support for division chair, faculty, staff and students by organizing and coordinating all clerical functions for the division, including photocopying, scanning, purchasing, and room and vehicle reservations 
  • Assist the division chair with budgets, catalog revisions, class schedules, preparing administrative reports, organizing meetings and divisional events, and interviewing and hiring student workers 
  • Prepare, submit, and maintain all division faculty load reports
  • Prepare correspondence 
  • Maintain all budgetary items for division 
  • Serve as representative to current and prospective students and families, other IWU personnel, outside vendors and others who contact the division 
  • Manage agency accounts for various organizations and ensembles 
  • Maintain Events List information and publications 
  • Other duties and responsibilities are performed as assigned or as needed to ensure the smooth operation of the Division


Direct supervisor for student workers

Secretarial or Administrative Assistant experience - 2 years

Required Skills:

  • The individual must be able to manage multiple responsibilities simultaneously while dealing with interruptions

  • Organizational skills
  • Excellent written and verbal communication
  • Strong computer skills
