About the role

The Scalehouse Manager is responsible for the safe and efficient operation of the scale house, including the monitoring of receiving and shipping activities. This position is responsible for managing the administrative functions that support facility operations and ensuring accurate, timely processing of financial, operational, and customer-related information.

The Scalehouse Manager provides supervision, guidance, training, and motivation to assigned staff; assigns and reviews work; evaluates performance; and initiates corrective action as needed. This role is also responsible for supporting business objectives through effective team leadership, basic accounting and financial administration, KPI management, and continuous improvement of administrative processes.

Primary Responsibilities

  • Ensures Health and Safety is the number one goal by following policies and procedures and acting in a safe manner at all times.
  • Direct daily scalehouse, receiving, and shipping operations to support facility and business objectives.
  • Lead, supervise, train, and develop administrative and scalehouse staff, including assigning work, monitoring performance, providing feedback, and addressing performance concerns as appropriate.
  • Manage administrative staff and ensure adherence to established office procedures, policies, and internal controls.
  • Drive administrative and operational business objectives by monitoring performance, identifying opportunities for improvement, and ensuring timely completion of required activities.
  • Review, track, and report daily production and operational KPIs and escalate trends or issues as appropriate.
  • Support basic accounting and financial processes, including invoice coding, invoicing, reconciliation, recordkeeping, and reporting.
  • Manage invoicing and reporting for the Pinewood Site, ensuring accuracy and timely completion.
  • Assist with transportation routing and inbound and outbound activities, including creating manifests, bills of lading (BOLs), and labels.
  • Maximize operational performance of administrative and scalehouse functions and identify opportunities to improve efficiency, accuracy, and service.
  • Manage the scalehouse window and ensure accurate processing of inbound and outbound transactions.
  • Scan and maintain outbound paperwork and prepare manifests for outgoing loads.
  • Scan inbound paperwork, enter manifests, code documentation, and email or mail BOLs to customers.
  • Schedule loads in Salesforce and maintain accurate scheduling and shipment information.
  • Maintain accurate records and reports and ensure documentation complies with company policies and applicable requirements.
  • Perform other duties and tasks as assigned by management based on the needs of the business.

Qualifications

  • Associate's degree in Business Administration, Accounting, Finance, Operations, or a related field preferred; equivalent combination of education and relevant work experience may be considered.
  • Minimum of 3-5 years of progressively responsible experience in office management, business administration, scalehouse operations, logistics, accounting support, or a related function.
  • Previous experience supervising, leading, or managing a small team strongly preferred.
  • Working knowledge of basic accounting principles and financial processes, including invoicing, invoice coding, reconciliation, and reporting.
  • Demonstrated ability to manage administrative processes and drive business objectives, accountability, and results.
  • Experience monitoring KPIs, preparing reports, and using data to identify operational or administrative improvements.
  • Proficient in Microsoft Office Suite, particularly Excel, Word, and Outlook.
  • Experience creating and maintaining spreadsheets and generating business or operational reports.
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to multitask, prioritize competing responsibilities, and meet deadlines.
  • Self-starter with strong analytical, decision-making, and problem-solving skills.
  • Ability to work effectively across operations, transportation, finance, customers, and other internal business partners.

  • Requires standing, walking, carrying, stooping, crouching, sitting, grasping, and reaching.
  • May require lifting, pulling, and/or pushing up to 25 lbs.

Pay Transparency

Reworld is committed to paying its staff equitably, and we strive to provide competitive compensation and benefits packages. The range below reflects Reworld's reasonable estimate of base pay for this role based on primary posting location. It is expected that most qualified candidates in this location will fall within the posting range. The final salary offered for this role will be determined based on factors including, but not limited to: experience, education, geographic location, skills and competencies, travel requirements and/or union contracts (if applicable). Pay ranges are reviewed from time to time and may be modified in the future.

The pay range for the primary location of this position is: $60,000.00 - $79,900.00 USD per annum
