I. JOB OVERVIEW






Job Description Summary:
The Office of Military & Veteran Services ( MVS) offers a network of university and community resources to support the holistic development and learning of military-affiliated students at GW. MVS works to provide military-affiliated students with quality customer service, timely and accurate benefit processing, and community-building programs.

The Program Associate, Military & Veteran Services serves as a School Certifying Official ( SCO), working within a collaborative team to facilitate the timely and accurate process for eligible students to receive federal educational veterans' benefits. The incumbent interprets and explains complex regulation and eligibility requirements and provides front-line support to students and their families regarding the certification process.

This position is a primary contact for all internal and external scholarships, tuition awards, and educational supplements for GW military and veteran students to include the Yellow Ribbon Program ( YRP), Tuition Assistance, Learning Supplements (LS), and the Pat Tillman Foundation. This position may supervise VA Work-Study student(s) and assigned graduate fellow(s).

Job Duties and Responsibilities:

Education Benefit Processing, Compliance, and Record Management

  • Complete Veteran Affairs mandated training to obtain and maintain access to VA Enrollment Manager system. Be authorized by the Veterans Affairs to become and remain an active SCO (School Certifying Official).
  • Serve as a SCO, executing enrollment certifications and adjustments for Department of Veterans Affairs (VA) and Department of Defense (DoD) education benefits in strict adherence to federal regulations.
  • Compile, record, evaluate, and maintain comprehensive digital records including VA Benefit Chapters, percentage of eligibility, enrollment status, residency, and student account charges in accordance with VA guidelines. Assist in the preparation of student files for VA Compliance Surveys and internal audits.
  • Execute timely, accurate, and complete enrollment certifications, modifications, or terminations through federal compliance portals such as Enrollment Manager.
  • Work collaboratively with academic and campus partners, including Student Accounts, Undergraduate Financial Aid, and the Office of Graduate Assistantships & Fellowships to ensure timely, accurate, and efficient processing of received funds and to investigate billing discrepancies. Validates and verifies all payments received; processes all over-payments, and "school debts" due to changes in student schedules.
  • Provide specialized front-line support via phone, email, and in-person inquiries to prospective and current students and their families regarding VA education benefits and the application process.
  • Interpret and explain complex regulations, eligibility requirements, required documentation, housing allowance issues, and debt notifications into clear, actionable guidance.
  • Investigate questions and complex issues. Escalate issues in a timely manner and follow through to ensure resolution.


Student Support and Campus Outreach

  • Collaborate on the development and execution of student programming and signature department events (e.g., welcome events, Veterans Week, graduation recognition).
  • Support daily operations of the Military Community Center including reception desk operations, inventory, and facilities standards.
  • Collaborate with campus and academic partners to develop additional programs to enhance the academic, social, and career development of military-affiliated students.
  • Provide support for the GW Veterans student organization, assisting with mentorship, event logistics, room reservations, and annual leadership transitions.
  • Contribute to the execution of departmental communications, including newsletters, social media, and MVS websites.
  • Assist in the guidance and training of VA Work-Study students, delegating daily front-desk tasks and ensuring consistent staffing coverage.

Additional Responsibilities

  • Support day-to-day operations of the Office of Military and Veteran Services.
  • Participate in Division for Student Affairs activities, programs, and professional development opportunities.

The position is based at GW's Foggy Bottom Campus in Washington, DC. The incumbent may perform other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.
Minimum Qualifications:
Qualified candidates will hold a Bachelor's degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.
Additional Required Licenses/Certifications/Posting Specific Minimum Qualifications:
  • Ability to complete Veteran Affairs mandated training within 30 days of hire date to obtain and maintain access to the VA Enrollment Manager system.
Preferred Qualifications:

  • Experience working with military veterans or a demonstrated understanding of military culture is highly desired.
  • Previous experience with or practical understanding of veteran benefit processes in a higher education setting.
  • Proficiency in utilizing Student Information Systems (e.g., Banner), CRM platforms (e.g., Salesforce/Tableau), and federal compliance portals (e.g., Enrollment Manager) for data management.
  • Exceptional attention to detail with the proven ability to manage high-volume, data-heavy workflows with accuracy and efficiency.
  • Excellent communication and organizational skills. Ability to work independently and be detail-oriented.
  • Ability to explain complex regulations to various campus stakeholders.
  • Proficiency in the usage of personal computer and standard applications software (word processing, spreadsheet and/or database management programs).
  • Demonstrated commitment to supporting all students and fostering an inclusive environment and supporting access to higher education for diverse military populations.

Hiring Range $52,741.91 - $72,476.48
