Part-Time Payroll Assistant

Hourly Rate: $19.05

This position is an on-campus, part-time, up-to 19-hour appointment based in Champaign, Illinois.

The part-time Payroll Assistant supports the Payroll team in all steps associated in preparing and generating biweekly and monthly payroll. This position serves as a process back-up in the absence of the Payroll Manager and/or Accountant. They will also assist the office of Human Resources and the Business Office during low payroll productivity periods.

The Part-Time Payroll Assistant serves on a schedule established by the Payroll Manager. A flexible schedule is necessary for peak business periods and special projects. The position involves frequent handling of confidential information and records. The Payroll Assistant must be able to work independently and in a team environment while accurately prioritizing tasks, meeting critical deadlines and providing excellent internal and external customer service.

Essential Job Functions:



  • Assist Payroll Manager and Payroll Accountant with payroll processes.
  • Monitor completion of electronic time cards.
  • Review monthly lost time reports, total columns as needed.
  • Data entry of lost time/overtime, substitute hours, etc.
  • Advertise deadlines using Communications Management.
  • Review hours reported for compliance with labor laws and Parkland College policy and procedures.
  • Produce the reports needed to complete payroll cycles.
  • Assist in proofing biweekly and monthly payroll data.
  • Finalize biweekly payroll processes.
  • Prepare payroll checks for distribution.
  • Organize pay documents.
  • Assist Payroll Accountant with archiving files.
  • Answer telephone, written/email, and in-person inquiries and requests as needed.
  • Serve as a process back-up in the absence of Payroll Manger and/or Payroll Accountant.
  • When needed, assist Human Resources with filing and retrieving of documents, records, and reports; managing electronic files and databases; special projects.
  • When needed, assist Cashier's Office with cashiering/clerical duties while greeting incoming customers.
  • Other duties as assigned.


Minimum Requirements:



  • Progressively responsible payroll experience or course work.
  • Bookkeeping and/or accounting courses and/or experience.
  • Proficiency in Microsoft Office Suite, especially Excel, with the ability to learn the Parkland information system and new programs as technology changes.
  • Prospective new hires will successfully complete a post offer, pre-employment criminal background check with fingerprinting. The background check review includes, but is not limited to, exclusionary offenses per the Illinois School Code and Title IV of the Higher Education Act.
  • Excellent customer service skills with a friendly and professional demeanor.
  • Verbal and mathematical abilities sufficient to produce correspondence, communicate effectively, and perform other duties, including excellent use of English grammar.
  • In an effort to comply with SURS return-to-work restrictions for employers (40 ILCS 5/15-139.5), candidates for employment at Parkland College must either not be a SURS annuitant or must be willing to suspend his/her SURS annuity upon employment. This applies to all SURS annuitants except those receiving their annuity under either the Self-Managed Plan (SMP) or by lump sum payment.
