We are seeking an Office Administrator to provide professional administrative and operational support for the Ovivo Phoenix Fab Shop. In this role, you will work closely with the Fab Shop Manager to support daily operations, maintain accurate documentation, and help ensure smooth coordination across departments. This position plays a key role in keeping administrative, purchasing, and reporting processes organized and efficient within a manufacturing environment.
What You Will Do
  • Organize and prioritize daily administrative work, adjusting plans as needed to support changing requirements and workloads.
  • Prepare, type, format, and produce reports, correspondence, memos, and other technical or confidential documents.
  • Coordinate correspondence between departments and offices to ensure documentation is accurate, complete, and appropriate.
  • Maintain regular contact with key personnel across departments and offices.
  • Establish and maintain filing systems and computer databases for departmental records.
  • Collect, submit, and track project time reports.
  • Support finance activities by obtaining approval signatures and filing vendor and supplier invoices.
  • Solicit pricing quotations from vendors and suppliers and prepare material requests.
  • Enter material request information into Syteline and prepare purchase orders.
  • Maintain adequate office supply levels and coordinate small shipments, including envelopes and boxes.
  • Perform work in accordance with established safety procedures and maintain a neat, orderly workspace.
  • Support special assignments and projects as requested.

Position Details

  • Onsite: Phoenix, AZ Fab Shop
  • Reports to: Fab Shop Manager
  • Travel: Minimal travel expected, primarily for training
Minimum Qualifications
  • High School Diploma or GED
  • three (3) years of directly related administrative experience in production, manufacturing, or design environments, or an equivalent combination of education and experience.
  • Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint.
  • Ability to manage multiple tasks simultaneously and establish priorities with accuracy and dependability.
  • Ability to respond effectively to sensitive inquiries and make decisions using independent judgment.
  • No Immigration Sponsorship provided for this role.
Preferred Qualifications
  • Experience using Syteline.
  • Associates or Bachelor's Degree

Annual or Hourly Compensation Range:

The pay for this role is $26-$29/hr Many factors are taken into consideration when determining compensation, such as experience, education, training, geography, etc. We comply with all minimum wage and overtime laws.
