The Office oversees daily campus administration impacting students, faculty, and staff, while fostering a collaborative and inclusive environment that supports academic excellence and institutional success. It also plays a critical role in advancing strategic priorities through coordinated partnerships and meaningful engagement with external stakeholders, including community leaders, government entities, and industry partners.
Posting Summary
Rutgers University-Newark (RU-N), an urban public research university and anchor institution located in Newark, New Jersey, is seeking a Senior Executive Operations Associate. Reporting to the Vice Chancellor for Strategy and Operations and Chief of Staff, this position assists in implementing operational processes and priorities within the Chancellor's Office, ensuring the office operates at the highest levels of efficiency, responsiveness, and institutional professionalism. The Senior Executive Operations Associate is the primary steward of the Chancellor's and Vice Chancellor for Strategy and Operations and Chief of Staff's time, workflow, and office environment. This is a highly visible, execution-focused role requiring exceptional judgment, discretion, and the ability to operate with professionalism across all levels of the institution.
This position is responsible for and not limited to the following:

  • Coordinates, oversees, and/or performs a wide variety of administrative and support activities for the Chancellor, Vice Chancellor for Strategy and Operations and Chief of Staff and the Chancellor's Executive Team
  • Manages the Chancellor's calendar and the Vice Chancellor for Strategy and Operations and Chief of Staff in a variety of complex projects, assignments, and confidential executive-level administrative and research-related support for the Chancellor's Office
  • Responsible for the Chancellor's correspondence and assignment follow-through
  • Manages the day-to-day administration of the Chancellor's office, including supervisory responsibility of administrative staff, managing work assignments and workflow, and personnel development including hiring and training of the Chancellor's Office administrative staff
  • Serves as the primary point of operational and administrative contact for both internal and external constituencies, often on complex and confidential issues, and works collaboratively throughout the Chancellor's Office and University to ensure successful outcomes
  • Manages the administration of the Chancellor's Office including calendar management, event planning, briefing the Chancellor and Vice Chancellor for Strategy and Operations and Chief of Staff for meetings and researching relevant materials, establishing and maintaining an administrative file system (both hardcopy and electronic data management), and efficient office procedures
  • Independently composes correspondence and directs calls/inquiries to appropriate individuals within the office/university
  • Works independently with broadly defined work objectives and few direct instructions
  • Responsible for oversight, coordination, and assignments of various advisory boards and serves at times as the Chancellor's liaison to the faculty and staff as well as the Rutgers Board of Trustees and Board of Governors
  • Performs other duties as assigned

Consistent with the current application of Rutgers Policy 60.3.22, this position may be eligible for a hybrid work arrangement. The flexible work arrangements outlined in Rutgers Policy 60.3.22 are part of a pilot program that is effective September 1, 2022 through August 31, 2024. Therefore, there is no guarantee that this flexible work arrangement will continue beyond that date. Flexible work arrangements are not permanent, are subject to change or cancellation and contingent on the employee receiving approval in the FlexWork@RU Application System. Minimum Education and Experience

  • Requires a bachelor's degree; or an equivalent combination of education and/or experience that demonstrates comprehensive knowledge and understanding of executive management and administrative principles and practices
  • Five to seven years' experience in complex administrative units providing support for executive level management

Preferred Qualifications

  • Minimum five to seven years of progressive professional experience in executive operations, administrative leadership, or a closely related field, preferably within higher education or a similarly complex institutional environment.
  • Demonstrated experience managing senior executive calendars and office operations.
  • Exceptional organizational, written, and verbal communication skills.
  • Proven ability to manage confidential and sensitive information with discretion and integrity.
  • Strong judgment in prioritizing competing demands and navigating complex institutional relationships.
  • Experience supervising or providing work directions to administrative staff.
  • Proficiency in Microsoft Office Suite, collaboration platforms, AI-enabled productivity tools, and enterprise systems.
  • Experience in a Chancellor's, President's, or comparable senior executive office in higher education. Familiarity with Rutgers University systems, policies, and procedures.
  • Demonstrated experience in project coordination and institutional cross-functional follow-through.
  • Experience with enterprise HR and budget systems.

  • Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); enterprise calendar and scheduling systems; video conferencing platforms (Zoom, Microsoft Teams); document management systems; AI-enabled productivity tools; Rutgers enterprise systems, including SAP/HCM as applicable.
Physical Demands and Work Environment

  • Standard office environment.
  • Ability to work extended hours during peak operational periods including commencement, board meetings, and high-volume scheduling periods.
  • Some travel may be required.
