DEPARTMENT OVERVIEW

The UC Santa Cruz Division of Student Affairs and Success (DSAS), led by the Vice Chancellor for Student Affairs and Success, consists of nearly 250 team members spanning 3 major units and 21 departments. DSAS provides campus-wide coordination and leadership for student success programs, activities, and initiatives. DSAS does work through a range of resource centers dedicated to providing direct student support. The division's work is grounded in educational equity, institutional responsibility, and an unfettered commitment to supporting the whole student. DSAS aspires to ensure every student feels welcome, supported, and a sense of belonging during their time on campus. The division's efforts are informed by robust and dynamic relationships with campus leadership, faculty, students, and staff from across the campus, reflecting the broad campus commitment to ensuring student success. Beyond UC Santa Cruz, the DSAS team is involved in numerous professional organizations and highly engaged in the local community.

The Student Success and Equity (SSE) portfolio of departments is a branch of the Division of Student Affairs and Success (DSAS) focused on academic support services, advising/counseling, student life/co-curricular programming, student identity development and retention/student success initiatives. Student Success and Equity provides services to the campus community with over 17,000 undergraduate and graduate students and has over 64 career employees and 475 student staff employees operating in 8 facilities/locations. The Student Success and Equity area includes a wide array of multi-disciplinary academic and non-academic units including: Disability Resource Center (DRC), Educational Opportunity Programs (EOP), Learning Support Services, Services for Transfer and Re-entry Students (STARS), Renaissance Scholars Program (including Foster Youth), Veteran Resource Center, African American Resource and Cultural Center (AARCC), American Indian Resource Center (AIRC), Asian American/Pacific Islander Resource Center (AA/PIRC), Chicano/Latino Resource Center (El Centro), Women's Center (WC), the Lionel Cantu Queer Center (LGBTQ+), Undocumented Student Services (USS), the UCSC Hispanic Serving Institution Initiatives (HSI), African Black and Caribbean Student Success, Career Success, and campus committees/programs, and the Administrative and Business team for the unit. The Student Success and Equity area includes all of the units and over 125 state, federal, student service fees and gift fund sources and an annual operating budget of nearly $18 million dollars.

The Mission of UCSC Career Success is to prepare students for what they want to do with their lives by developing relevant career skills. Career Success envisions that Banana Slugs change the world, wherever they are, however they can. Career Success works to support undergraduate and graduate students, as well as UCSC alumni. Career Success offers career coaching, holds career fairs and works with on-campus and off-campus partners and employers to set up recruitment events, on-campus info sessions, workshops, and more. The Career Success office also connects students with experiential learning opportunities. Additionally, Career Success manages hiring for on-campus positions and supervises the onboarding process for all new student hires.

JOB SUMMARY

Under the supervision of the Director, the Student Employment Coordinator coordinates the student employment process for UC Santa Cruz, recognizing the transformative power of student employment on students' career readiness and professional development. Reporting to the Director of Experiential Learning & Student Employment, the Student Employment Coordinator serves as the first point of contact for the student employee hiring process. The incumbent supervises and trains a team of student assistants who process student employment paperwork and payroll forms, helping to hire and onboard over 4,000 student employees annually. The incumbent coordinates complex databases and hiring systems to ensure compliance with Federal/State mandates and UC Staff Human Resource (SHR) guidelines.

Working alongside the Career Success team, the Student Employment Coordinator ensures that all new student employees learn about how their employment opportunity develops their career readiness and ways to engage in their career development.

APPOINTMENT INFORMATION

Budgeted Salary: $32.92 - $35.29 / Hourly. Salary commensurate with skills, qualifications and experience.

JOB DUTIES

60% - Student Employment Process Coordination

  • Determines the appropriate UC Santa Cruz payroll and work authorization documents for all new student employees.
  • Leads new student employees through the hiring and authorization process.
  • Coordinates all completed payroll forms by reviewing each form for completeness and accuracy.
  • Troubleshoots any errors in the new student hiring process and determine appropriate solutions; consults with key stakeholders to ensure a timely and compliant solution.
  • Consults with supervisor on policy or legal matters that require resolution.
  • Communicates with students, employers, and timekeepers, answering general questions related to student employment procedures.
  • Routinely reviews new student employee forms and documentation completed by the team of student assistants and communicates errors and changes throughout the employment process.

20% - Student Employment Databases/Systems Coordination

  • Manages current and future employment databases and systems, including the Tracker, UCPath, and Handshake.
  • Attends UC-wide and required meetings to ensure accurate and timely information about requirements, compliance, and management of Tracker, Glacier, ER system, and Handshake databases.
  • Reviews and cleans data and entries in platforms like Tracker and Handshake to ensure accurate information and to meet compliance requirements, leveraging student assistants to aid in this process.

15% - Supervision of Student Assistants

  • Recruits and hires a team of student assistants who review new student employee forms and Handshake job postings.
  • Provides training on student employment procedures, evaluating job postings, and their role in reviewing student employment information.
  • Leads bi-weekly team meetings for student assistants, providing ongoing professional development and training.
  • Provides supervision and end of quarter evaluations. Due to the nature of the work, expected to interact with student assistants on a daily as-needed basis.

5% - Other Duties as Assigned

  • Participates in ongoing professional development to ensure knowledge and expertise in student employment, career readiness, and career development.
  • Represents UC Santa Cruz as needed in meetings.
  • Completes special projects, committee assignments, and any other duties as assigned by the Director or Executive Director.

REQUIRED QUALIFICATIONS

  • High school diploma or equivalent experience and/or training.
  • Demonstrated clerical and organizational skills with strong attention to detail.
  • Strong interpersonal skills sufficient to connect with all levels of staff, students, and external constituents in a respectful, supportive, yet authoritative manner.
  • Demonstrated ability to take initiative and work independently in a goal oriented, team-based environment.
  • Demonstrated ability to effectively prioritize a heavy volume of workload with pressure of deadlines and constant interruptions.
  • Excellent written communication skills.
  • Ability to perform accurate data entry and proofread work carefully.
  • Ability and willingness to learn and use new computer programs and applications as required by the unit or campus.

PREFERRED QUALIFICATIONS

  • Basic knowledge of employment procedures and State and Federal hiring guidelines.
  • Basic knowledge of UC programs, career services, recruiting and staffing methods, and employment trends.

SPECIAL CONDITIONS OF EMPLOYMENT

  • Selected candidate will be required to pass a pre-employment criminal history background check.
  • Selected candidate must pass the employment misconduct disclosure process.
  • Ability to work long periods of time at a computer with or without accommodation.
  • The selected candidate will be required to work primarily on campus, with periods of remote work possible based on operational needs. If a hybrid work schedule is confirmed, the selected candidate must be able to work successfully from a home/remote office and be able to fulfill the requirements of the UCSC telecommuting agreement.
  • Selected candidate will be required to complete training within established time frames as directed including UC compliance training.
