The Fellowship Coordinator will manage day-to-day administrative operations for the Gastroenterology, Interventional, Transplant Hepatology and IBD fellowship programs which include but are not limited to, continually assess and direct a wide range of programmatic issues including long range planning, recruiting trainees, developing projects, analyzing administrative workflow, maintaining databases, communicating with faculty and trainees regarding a range of issues and managing internal and external program relations.

Duties & Responsibilities:

Program Administration and Operations
  • Coordinate day-to-day operations of residency/fellowship programs
  • Maintain program calendars, rotation schedules, and call schedules using tools like QGenda and New Innovations
  • Organize orientation, onboarding, and graduation activities
  • Serve as the main point of contact for residents, fellows, and faculty
  • Support divisional operations as needed to ensure efficient administrative and program functioning

Accreditation & Compliance
  • Ensure compliance with Accreditation Council for Graduate Medical Education (ACGME) requirements
  • Track duty hours, evaluations, and procedural logs in New Innovations
  • Prepare and maintain documentation for accreditation reviews and site visits
  • Assist with Annual Program Evaluation (APE) and Self-Study processes

Recruitment and Onboarding
  • Coordinate recruitment cycles using systems like Electronic Residency Application Service (ERAS)
  • Schedule 5interviews and manage applicant communications
  • Support ranking process through National Resident Matching Program (NRMP)
  • Facilitate onboarding, credentialing, and new hire paperwork

Data Management & Reporting
  • Maintain fellow records in New Innovations and other institutional systems
  • Generate reports on evaluations, milestones, and program metrics
  • Track board eligibility and certification outcomes

Curriculum & Educational Support
  • Coordinate didactics, conferences, and grand rounds
  • Support curriculum development and distribution of educational materials
  • Track attendance and educational outcomes

Fellow Support
  • Act as a liaison between trainees, faculty, division leadership, and GME
  • Assist with leave requests, wellness concerns, and conflict resolution (within scope)
  • Guide fellows on policies, procedures, and institutional resources

Financial & Resource Coordination
  • Monitor program budgets (travel, education funds, events)
  • Process reimbursements, purchase orders, and expense tracking
  • Coordinate logistics for conferences and educational events

Institutional & Departmental Collaboration
  • Work with the GME Office at University of Illinois Chicago and affiliated hospital partners
  • Participate in committees and meetings related to medical education
  • Ensure alignment with institutional policies and timelines


Minimum Qualifications Required:

  1. High school diploma or equivalent.
  2. Any one or combination totaling four (4) years (48 months), from the categories below:
    1. College coursework in medical education, education, communications, public relations, or a closely related field as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    2. Progressively more responsible clerical or secretarial experience, including a background in electronic word processing and database management systems
  3. Work experience totaling one (1) year (12 months) comparable to that gained at the Medical Education Program Specialist level or similar experience within a medical education program.


Please Note: Completion of the Training Administrators of Graduate Medical Education Programs Certification (TAGME) from the National Board for Certification of Training Administrators qualifies applicants for each level of this series.
Preferred Qualifications:
  • Bachelor's degree in education, healthcare administration, communications, or a related field
  • Two (2) or more years of experience in medical education or academic program coordination
  • TAGME Certification (may substitute for a portion of required experience)
  • Experience supporting residency or graduate medical education (GME) programs
  • Familiarity with accreditation processes and student/resident tracking systems
  • Strong organizational and project coordination skills
  • Excellent written and verbal communication abilities
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Ability to work independently and collaboratively with faculty, staff, and students
  • Proficiency in standard office software and data management systems
