Position Summary
Winston-Salem State University is seeking a detail-oriented, customer-focused, and highly organized Human Resources Generalist to support daily HR operations with a strong focus on data entry, across multiple functional areas including Talent Acquisition, Position Management, HRIS, Payroll, Leave Administration, and Records Management.
This position serves as a critical operational partner within Human Resources by ensuring employment actions are processed accurately, timely, and in compliance with university policies, UNC System regulations, and state and federal guidelines. The role requires strong analytical skills, excellent customer service, technical HR systems knowledge, and the ability to manage multiple priorities while maintaining data integrity and operational excellence.
The ideal candidate will possess strong HR knowledge, excellent communication skills, and the ability to support both strategic and transactional HR functions in a fast-paced higher education environment.

Essential Duties and Responsibilities:

HR Programs and Organizational Support

  • Support HR operational units by processing and completing employment actions for Talent Acquisition, Position Management, HRIS, Payroll, and Leave Administration.
  • Perform high-volume HR data entry for employment actions including new hires, reappointments, salary changes, fund changes, transfers, separations, FTE changes, and position updates.
  • Ensure employee credentials and onboarding requirements are completed timely for smooth transition across campus systems and access requests.
  • Review and monitor daily employment and payroll reports to validate prior-day data entry accuracy and make corrections as needed.
  • Provide support to the HRIS Analyst with Change Advisory Board (CAB) system updates, SFTP third-party system maintenance, HR DataMart submissions, legislative increases, annual leave roll, fiscal year roll, and other technical HR operations.
  • Perform daily system monitoring and review of HR actions for completion, escalation, or reassignment to the appropriate HR team member.
  • Maintain personnel records through scanning, archiving, purging, and records retention compliance using Xtender and state retention schedules.


Payroll and Leave Administration Support

  • Validate payroll-related personnel transactions and coordinate with Payroll to maintain compliance with payroll deadlines.
  • Support leave administration by assisting employees and departments with leave coding, leave balances, FMLA coordination, documentation requirements, and benefits-related leave transactions.
  • Serve as backup support for monthly and biweekly payroll processing by reviewing employment actions that impact payroll and ensuring documentation is submitted accurately and timely.


Recruitment, Onboarding, and Front Office Support

  • Function as backup support for front office administrative duties including new hire processing, onboarding activities, conducting background checks, collecting reference checks, degree verification, E-Verify (I-9), and foreign national compliance actions.
  • Deliver support for educational and professional credential verification for all SHRA and EHRA non-faculty employees.
  • Complete employment verification requests within established service timelines.
  • Provide professional front office customer service for walk-in visitors, telephone inquiries, and HR ticketing system requests.


Information and Records Administration

  • Manage personnel records for SHRA, EHRA non-faculty, and student employees, including new hires, reappointments, salary changes, fund changes, position title changes, assignment extensions, and separations.
  • Prioritize new hire setup and position changes based on payroll deadlines and New Employee Orientation schedules.


Program and Project Administration

  • Perform daily HR Generalist functions related to employment, onboarding, employee support, system transactions, and records management.
  • Process personnel transactions in Banner, PeopleAdmin, and other HR systems with a high level of accuracy and attention to detail
  • Generate daily, weekly, and monthly reports for employment actions, leave coding, payroll transactions, and personnel records to maintain system integrity.
  • Conduct daily review and triage of HR ticketing system requests and provide timely resolution or routing to the appropriate HR team member.
  • Collaborate across HR functions to ensure records management, compliance documentation, and employment processes are completed efficiently and accurately.


Communication and Customer Service

  • Serve as a point of contact for employees, departments, and campus partners regarding employment-related actions and HR processes.
  • Provide clear guidance and instructions related to HR procedures, records management, payroll actions, and employment transactions.

Department Required Skills

  • Bachelor's degree and 2-3 years of Human Resources experience or equivalent combination of education and experience.
  • Strong understanding of HR principles, employment law, and HRIS systems.
  • Ability to maintain confidentiality, demonstrate professionalism, and exercise good judgment.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Strong organizational skills with the ability to manage multiple priorities.

Preferred Years Experience, Skills, Training, Education

  • 4 - 5 years' related experience of Human Resources
  • Experience in a higher education or public sector HR environment.
  • Familiarity with HR systems such as PeopleAdmin, Banner, or equivalent platforms.
  • Experience conducting training sessions and leading system implementations or enhancements.
  • Experience managing HR service ticketing systems or similar platforms.
  • Experience in position management processes, including SHRA to EHRA conversions.
  • Experience managing temporary and federal work-study student employment.
  • Professional HR certification (e.g., PHR, SHRM-CP) is highly desirable.
  • Strong communication and interpersonal skills.
  • Attention to detail and ability to maintain confidentiality.
  • Proficiency in Microsoft Office suite and familiarity with HRIS systems (experience with specific systems is a plus).
  • Understanding HR principles, laws, and regulations (training or coursework in HR is beneficial).
  • Ability to work effectively in a team environment and manage multiple priorities.
