About this opportunity:

Ball State University is searching for a Scholarship Specialist to join our team. This position is responsible for verifying and processing scholarships and grant awards. Communicating with students, parents, donors and others. Evaluate institutional, private and Foundation Scholarship requirements.

What you'll do and what you'll bring:

Position Function: Monitor, verify and process scholarship/grant awards; communicate with students, parents, donors and others; perform administrative duties for Senior Scholarship Administrators.

Duties & Responsibilities:

1. Receive scholarship/grant checks; compile and balance totals with the Bursar using the Shared Documents Deposit system.

2. Adjust financial aid packages to include scholarships or grants from various university departments, government agencies and private organizations; input awards to the financial aid and accounts receivable systems.

3. Evaluate institutional, private and Foundation scholarship requirements to determine eligibility of students.

4. Communicate with students, parents and campus personnel regarding scholarship awards and university policies/procedures.

5. Coordinate funding for students from China on theSINOprogram and students from Saudi Arabia in theSACMprogram; responsible for informing international students of university financial aid.

6. Create, verify and document records and files for scholarship/grant programs from university departments, governmental agencies and organizations.

7. Assist in the creation and assignment of all account numbers for scholarship and grant awards.

8. Compose correspondence and communicate with outside donors for the purpose of verifying enrollment, requesting information, answering questions, supplying requested receipt of payment on scholarships and/or acknowledgement of charitable contributions.

9. Process refunds in accordance with cash management regulations.

10. Coordinate processing of federal AmeriCorps awards.

11. Assist in preparation of Athletic Grant-in-Aid agreement letters for each sport.

12. Utilizing Banner and Blackbaud Award Management (BAM), assist with reconciliation of accounts and preparation of billing reports forOFAS, the University Foundation and outside private scholarship agencies.

13. Maintain regular and predictable attendance.

14. Perform other related duties as assigned.

Minimum Qualifications:

  • Up to eighteen months of education or office skills training beyond high school or equivalent.

  • Over one through three years of clerical/secretarial experience.

Preferred Qualifications

  • Over one year of experience in a financial aid related function; excellent verbal and written communication skills.
