Job Summary:

The Department of Psychiatry at the University of Illinois Chicago (UIC), College of Medicine, is seeking to recruit a Director of Administrative Operations (DAO). The Department of Psychiatry is one of the largest clinical departments in the College of Medicine, with nationally recognized programs in clinical care, research, and education. The DAO leads and oversees the operational, financial, regulatory, and business activities of the Department of Psychiatry in the College of Medicine. This includes financial analysis and strategy related to medical service, healthcare maintenance, and procurement programs; human resources and facilities management; business development, marketing, and public relations; contract negotiations; interfacing and ensuring compliance with granting organizations, regulatory agencies, university policies, and procedures. This position will report directly to the Department Head (of Psychiatry) and represent the Department Head, when necessary, on campus/university committees.

Description:

  • Duties & Responsibilities

    Financial Management / Business Development

    o Develop the annual budget, including providing monthly financial reporting and forecasting, cash flow management, capital spending and expenditures review and approval.

    o Develop strategic plans, annual goals and objectives and administrative direction of the unit.

    o Identify new business opportunities by analyzing and presenting financial data for the development of new services, facilities, procedures and costs.

    o Oversee the operational payment structure, monitor payments and patient billing as outlined in contracts and ensure compliance with insurance companies.

    o Lead departmental marketing efforts by developing and implementing a marketing plan and measuring and reporting results.

    o Create, implement and monitor departmental strategic plan.

  • Operations Management

    o Oversee maintenance, repair, remodeling and equipment purchases by identifying needs, planning, budgeting, and reviewing contracts as needed.

    o Manage off-site practices by negotiating the terms for revenue generating contracts, monitoring and renegotiating leases.

    o Direct all day-to-day administrative activities.

    o Maintain and report space utilization inventory.

    o Plan, assign and review work of staff to ensure that group objectives are met. Hire, train, develop and manage staff to ensure that a qualified staff exists to meet group objectives.

  • Grants Management

    o Responsible for oversight of grant activities. Ensure research aims are met; ensure compliance.

    o Oversee the management of grant activities (pre and post award, extramural) including review and submission of grant and contract proposals; creates and maintains documentation of expenditures, reports, proposal submissions and awards.

  • Human Resources & Faculty Affairs

    o Oversee and direct recruitment activities of faculty, physicians, and staff with assistance of appropriate management staff. Ensure appropriate credentials are received as needed.

    o Develop and monitor compensation plans, income guarantees and productivity incentives.

    o Recruit, select, evaluate, and train administrative staff.

  • Information Technology

    o Develop and direct the priorities related to departmental projects and initiatives.

    o Acts as a liaison between IT and faculty regarding departmental website projects, shared services, ongoing departmental initiatives.

  • Clinical

    o Participate and ensure compliance for all Psychiatry related claims and billing documentation.

  • Education

    o Responsible for the oversight and priorities related to the recruitment of residents, fellows, psychology trainees and medical students.

    o Perform other related duties and participate in special projects as assigned.

  • Qualifications:
    Minimum Qualifications
    • Bachelor's Degree in Healthcare Administration, Business Administration, Management, or in a related field. Master's degree preferred.
    • A minimum of 10 years of administrative/management experience. Management experience in healthcare/academic environment preferred.
    Preferred Qualifications
    • Advanced training or certification in healthcare administration, finance, or project management.
    • Demonstrated success in managing multidisciplinary teams and fostering collaboration between faculty, clinicians, researchers, and administrative staff.
    • Strong background in budgeting, financial forecasting, and resource allocation for complex organizations.
    • Knowledge of healthcare billing and reimbursement models.
    • Proficiency with Microsoft Office tools.
    • Proficiency with data analytics and reporting to support decision-making.
    • Experience overseeing HR functions, including recruitment, onboarding, performance management, and employee relations.


    Benefits and Compensation:

    The previously determined salary range for this position is $150,000.00 to $200,000.00 (commensurate with experience) for full-time efforts (1.0 FTE).
