This role offers a starting range of $21 to $24 per hour. Actual compensation will be based on qualifications such as experience, education, certifications, and skills, as well as geographic considerations. We are looking for a Part-Time Data Entry Specialist (up to 24 hours/week) to support our Regulatory Affairs team. In this role, you will be responsible for entering and managing supplier-provided regulatory data in our internal systems. The ideal candidate is detail-oriented, computer-savvy, and excels in data entry. You will work with our Supply Shift supplier data portal and SAP system to ensure accurate and timely data entry. Following an initial on-site training period in Illinois, this position offers a flexible hybrid work arrangement, combining remote and in-office work. - Data Entry: Enter and update supplier-provided data into the company's internal Supply Shift portal and SAP system, ensuring accuracy and completeness of all entries.
- Data Verification: Review and verify data received from suppliers for correctness and consistency before inputting into the system. Promptly address any discrepancies by coordinating with suppliers or internal team members to obtain accurate information.
- Document Management: Organize and maintain regulatory documents and records (such as safety data sheets, certifications, and compliance documents) in the department's document management system, ensuring they are up-to-date and easily accessible to the team.
- Systems Use: Navigate and utilize the Supply Shift supplier engagement portal and SAP ERP software to input data and retrieve information as needed. This includes linking data between systems and running basic reports or queries in Excel for tracking purposes.
- Collaboration: Work closely with the Regulatory Affairs team and other departments (e.g., Purchasing or R&D) to gather required data from suppliers, clarify information, and support ongoing regulatory compliance projects. Serve as a point of contact for internal colleagues when they need assistance with data related to supplier regulatory information.
- General Support: Provide administrative support to the Regulatory Affairs team as needed. This may include assisting with preparing routine compliance reports, updating spreadsheets, handling email communications with suppliers regarding data submissions, and helping with any other tasks or small projects to facilitate the team's workflow.
Qualifications
Required Qualifications:
- Education & Experience: High school diploma or equivalent. Prior experience in data entry or administrative support (approximately 1+ year in a professional office or similar environment) is required.
- Technical Skills: Strong computer skills with proficiency in Microsoft Excel (data entry, formulas, basic data analysis). Comfortable using general office software and learning new data entry systems or databases. Experience with SAP or other enterprise resource planning systems is highly valued (training on our specific systems, including Supply Shift, will be provided).
- Attention to Detail: Excellent accuracy and attention to detail in data entry and record-keeping to ensure regulatory data integrity and compliance. Ability to spot and correct errors in data.
- Communication & Interpersonal Skills: Excellent written and verbal communication skills. Friendly and professional "people person" who can effectively communicate with suppliers and collaborate with colleagues.
- Teamwork & Independence: A proven team player who works well in a collaborative environment, yet is self-motivated and capable of working independently with minimal supervision.
- Organizational Skills: Strong organizational and time-management abilities. Capable of managing documents, files, and tasks in an orderly manner and prioritizing work to meet deadlines.
Preferred Skills & Qualifications: (Optional)
- Advanced Education: An Associate's degree or coursework in business, information management, or a related field.
- Familiarity with Regulatory Systems: Prior experience using Supply Shift (Sphera Supplier Engagement Portal) or similar supplier data management systems.
- SAP Experience: Hands-on experience with SAP or other ERP systems in a data entry or data management capacity.
- Regulatory/Compliance Knowledge: Understanding of basic regulatory documents and terminology (e.g., Safety Data Sheets (SDS), compliance certificates) or experience in a regulatory affairs or compliance setting.
- Additional Software Skills: Proficiency with other Microsoft Office applications (Word, PowerPoint) and experience with document management software.
- Problem-Solving: Strong problem-solving and critical-thinking skills to identify and address data discrepancies or process issues.
