This is more than an administrative role,it's a critical position at the center of operations. As an Executive Operations Assistant, you'll play a key role in enabling leadership success by anticipating needs, streamlining processes, and ensuring every detail is executed with precision.

As the Executive Operations Assistant here's the work you'll do:

  • Manage GM's Work Schedule through understanding the business, processes and procedures and stakeholders in order to appropriately prioritize meetings, required actions, signature requests, phone calls, etc... Attend meetings with (or without) GM, noting all actions, driving these through to completion.
  • Coordinate GM's calendar, scheduling meetings, keeping them on schedule, de-conflicting meetings based on priority, notifying about required deliverables for meetings, and understanding long-range deliverables in order to block time to prepare for these. Provide all needed documents and links for trainings and meeting prep.
  • Compile, Consolidate, Review and Correct presentations and proposals for GM, ensuring these are grammatically correct, cohesive, and convey the appropriate information to stakeholders. Serve as Red Team reviewer for proposals. Work with presenters on Oral presentation teams, coordinating, reviewing and providing feedback to presenter, ensuring schedule is maintained and presentation is clear and cohesive.
  • Handle travel and expense reports:Make/change reservations for GM using Concur, compile and submit expense reports for GM, following through to ensure payment, serve as reviewer for staff expense reports, review travel card statements for accuracy.
  • Review staff employee's time entry, provide documents for GM from various systems including Sharepoint, Syncplicity, Document Locator, etc.
  • Understand travel system and Concur, serving as local SME, Serve as Lead/Admin for Accelerate, update electronic information boards using Screenly Pro, Arrange for lunches and meetings as required, along with various other functions in support of GM and staff.

  • Ability to manage multiple, often competing, priorities in a fast-paced environment.
  • Strong Microsoft Office skills with an emphasis on excel, power point and calendar management
  • Ability to work with a high level of flexibility, reliability, dependability and confidentiality
And if you have these qualifications:

  • H.S. Diploma or General Education Degree (GED) Required.
  • Associate's Degree (AA) Preferred.
  • Bachelor's Degree in Arts/Sciences (BA/BS) Preferred.
  • 8+ years of administrative support in a corporate environment Required.
  • Must possess a valid REAL ID-compliant driver's license, which includes the gold or black star in the upper corner, indicating it is federally compliant.
  • A positive attitude and the ability to collaborate with team members is essential for contributing to a cohesive work environment.
  • Successful completion of a background screening process is mandated for all candidates.

In compliance with this state's pay transparency laws,the salary range for this role is $55,040-$82,560.This is not a guarantee of compensation or salary, as final offer amount may vary based on factors including but not limited to experience and geographic location. (The specific programs and options available to an employee may vary depending on date of hire, schedule type, and the applicability of collective bargaining agreements)

    * Expertise in: EXCEL, WORD, CADD (Revit/Bentley)
    * Ability to wear a mask, respirator, bullet proof vest, or other equipment.
    * Ability to regularly perform all job functions at Company's office or worksite.
    * Ability to withstand environmental conditions (e.g. extreme heat or cold, grass, wind, sand, fumes, odors, gases, extreme noise, etc.)
