Role: Accounts Payable Coordinator (Temporary to Permanent)
Pay Rate: $33/hr - $35/hr

Location: Midtown Manhattan - *Hybrid - 4 days a week onsite*
Job Description:
  • Invoice Management: Lead the end-to-end processing of vendor invoices and payment requests, ensuring all data is reviewed, verified, and accurately entered into the system.

  • Compliance & Controls: Guarantee that all transactions feature proper coding, documentation, and executive approvals in strict alignment with internal AP policies and financial controls.

  • Payment Execution: Facilitate seamless payment runs, prioritizing accuracy and timeliness while maintaining comprehensive supporting documentation.

  • Financial Reporting: Assist with the preparation of AP aging reports and activity logs; support the Finance team during month-end close cycles to ensure books are balanced and reconciled.

  • Account Reconciliation: Proactively reconcile vendor statements to identify and resolve variances, discrepancies, or missing documentation.

  • Regulatory Adherence: Ensure all workflows remain in full compliance with IRS regulations and standard organizational procedures.

  • Strategic Support: Assist Finance leadership with ad-hoc reporting, data analysis, and special projects as required.

Vendor Relations & Stakeholder Engagement
  • Database Management: Oversee the setup and maintenance of vendor records, ensuring all critical compliance data (including W-9s and banking information) is current and secure.

  • Communication Hub: Manage the AP department's primary mailbox, ensuring all internal and external inquiries are routed correctly and addressed promptly.

  • Internal Liaison: Act as a reliable point of contact for internal stakeholders to clarify AP policies and facilitate smooth approval workflows.

  • the individual's skill sets, experience and training;
  • licensure and certification requirements;

With that said, as required by local law, Vaco by Highspring believes that the following salary range referenced above reasonably estimates the base compensation for an individual hired into this position in geographies that require salary range disclosure.
