Description
Position Summary The Power Systems Project Coordinator is responsible for coordinating equipment purchases, project scheduling, equipment delivery, and commissioning activities by working directly with customers, vendors, consultants, contractors, sales representatives, project engineers, and commissioning technicians. The Project Coordinator is also responsible for assisting the sales representatives with preparing customer-facing documents, bid packages, submittal documentation approval, and project completion. The Project Coordinator must be able to perform independently with limited supervision. The ability to manage multiple priorities is essential for this position. The Project Coordinator will demonstrate initiative, resilience, attention to detail, sense of urgency, commitment to teamwork, enthusiasm for customer service, and dedication to finding solutions in an efficient manner. Essential Responsibilities and Expectations
- Assist sales representatives with creating CSQ quotes or customer facing documents
- Ensure submittals are assigned to an engineer and assist with obtaining submittal approval
- Check that projects for deals won are set up correctly in AX and put into process
- Order equipment from CAT and other 3rd party suppliers
- Track and manage equipment orders, update sales reps, engineers, and customers of statuses
- Coordinate receipt of equipment with 3rd party packagers or end user location
- Schedule commissioning activities with Service Department and Contractors
- Ensure project costs and revenues are accurately recorded and posted in the correct fiscal period
- Submit discounting or sales reporting documents to CAT upon successful completion of project
- Complete project closeout documentation and submit to PS Accountant for elimination
- Effectively handle customer objections and concerns
- Provide liaison support between customers, reps, and our suppliers
- Effectively communicate with company personnel
- Other duties as assigned by Supervisor
Qualifications Education High School Diploma or College Degree Experience
- Previous experience and a working knowledge of the power generation or construction industry as well as familiarity with financial statements or GAAP Accounting preferred.
- Experience using personal computers, Microsoft Word, Excel, and basic typing skills are required for this position. Must possess or demonstrate the ability to quickly acquire the following required Skills and Competencies.

- Ability to create, modify, and finalize quotes/orders in CSQ
- Understanding of electric power equipment and nomenclature
- Coordinate and schedule deliveries for multiple pieces of equipment across different suppliers to arrive at a final destination, at a predetermined time, often six months to a year in the future
- Capable of reading and understanding bid specs and electrical drawings
- Understand the format and requirements for project submittals and their approval process
- Identifying the most important tasks and successfully completing them in a timely manner.
- Managing projects over months/years while capturing all costs and revenues and recognizing them in the correct fiscal period
- Strong verbal communication, written communication, and presentation skills
