Job Responsibilities:

  • Perform various clerical and administrative duties relating to Retail Services program fulfillment.
  • Maintain customer account agreements, vehicle files, verification of receipt and assignment, records of the completion of work, and other required information.
  • Create and maintain billing files for Retail Services fees related to these accounts.
  • Ensure payment for billings or accounts receivable are received timely and posted as well as contact customers for reconciliation of discrepancies.
  • Analyze and manage customer vehicle throughput via daily report/query capabilities.
  • Work with Retail Services Operations Manager to achieve customer's expectations of department deliverables through proactive communications.
  • Work with department manager to establish and maintain deep service relationships with customers.
  • Perform data entry and verify customer vehicle information is accurately recorded in a timely manner in the system and that vehicles are properly tagged with appropriate work order and/or other documentation.
  • Respond to customer inquiries relating to assigned customer vehicles, provide quality service, and assist in resolving problems.
  • Enter all pertinent information into AS400 and approved work requested by customer.
  • Utilize the AS400/VCF systems to monitor and track vehicle repairs.
  • Communicate and schedule repairs/enhancements with Retail Services Operations management.
  • Monitor vehicle through Retail Services fulfillment process to ensure timeline commitment is met.
  • Review completed work ensuring customer quality standards are achieved and/or exceeded.
  • May follow up with customer to confirm completion and satisfaction.
  • May work with finance/local management to ensure customers are charged and A/R is collected timely.
  • Visibly demonstrate safety commitment by following all safety and health procedures and modeling the behaviors related to such.
  • Work in cooperation with safety leadership in support of all safety activities aligned with Safety Excellence.
  • Perform other duties as assigned by management.


Qualifications:

  • High school diploma or equivalent required; associate degree or higher preferred
  • 1-3 years of administrative, office management, or automotive-related experience preferred
  • Prior experience in an auto auction, dealership, or automotive retail environment is a plus
  • Strong organizational skills and attention to detail
  • Excellent customer service and communication skills
  • Proficiency with Microsoft Office (Outlook, Excel, Word) and ability to learn internal systems
  • Ability to manage multiple priorities in a fast-paced, deadline-driven environment


Physical & Work Environment:

  • Office-based role with regular interaction on the auction floor
  • Ability to sit, stand, and move throughout the facility during auction operations
  • This position works inside at a desk the majority of the time. But also outside in the elements
  • Frequent standing and walking required for this role.


USD 16.59 - 24.86 per hour

Compensation:

Hourly base pay rate is $16.59 - $24.86/hour. The hourly base rate may vary within the anticipated range based on factors such as the ultimate location of the position and the selected candidate's knowledge, skills, and abilities. Position may be eligible for additional compensation that may include commission (annual, monthly, etc.) and/or an incentive program.

Benefits:

Employees are eligible to receive a minimum of sixteen hours of paid time off every month and seven paid holidays throughout the calendar year. Employees are also eligible for additional paid time off in the form of bereavement leave, time off to vote, jury duty leave, volunteer time off, military leave, and parental leave.
