R&D- Administrative Assistant

This role performs a variety of administrative functions at our Bowling Green, KY -Coil Coatings facility.

Job duties include contact with other employees and access confidential and proprietary information and/or other items of value, and such access may be supervised or unsupervised. The Company therefore has determined that a review of criminal history is necessary to protect the business and its operations and reputation and is necessary to protect the safety of the Company's staff, employees, and business relationships.

* Create an organized system of tracking, monitoring and prioritizing a high volume of tasks and projects.
* Prepare written communications and utilizing various computer applications, including the Office 365 suite.
* Maintain substrate purchasing/inventory at all locations
o Purchase all metal substrate used for lab testing for all Coil locations: Bowling Green, Garland, Kankakee, Pittsburgh, Los Angeles, and other various locations.
o Issue Requisitions
o Obtain quotes from suppliers
o Issue required purchase orders from Coupa
o Coordinate shipping of metal coils to the slitter
o Purchasing Supplies for R&D Lab
* Maintain inventory for daily lab and office functions
o Research supply items for lowest cost option to support SW cost savings efforts
o Work with corporate accounting for all invoices and purchase orders
o Bring supplies up from the plant and restock all shelves and cabinets
o Reconcile AAP, MRO and Invoice Hold Reports
* Assist with the facilitation of Paint School
o Coordinate with Sales and R&D to schedule all dates for each Paint School
o Coordinate with Sales all communications and organizations for customers, commercial, and inside trainers
o Keeping up-to-date spreadsheet with confirmations for each class attendee
o Coordinate with Sales to maintain the customer Paint School waiting list
o Print and put together all teaching documents, name tags, certificates, etc
o Coordinate safety briefings and plant tours for each class
o Schedule all lunches and dinners associated with Paint School
* Support the administrative needs of the Bowling Green lab
o Assist R&D lab as needed with presentations, meetings and conference calls
o Gather needed and/or requested information from the global team
o Set up and organize customer meetings, lunches and dinners
o Update Phone Extension List
o Update Coil Lab Organizational Charts
o Coordinate the shipping of lab materials and samples
o Coordinate the return of various IT items
* Demonstrate the ability to display a high degree of professionalism and confidentiality in communication both internally and with customers.
* Special projects

BASIC QUALIFICATIONS
* Must be legally authorized to work in the country for which you are applying for employment (without now or in the future needing sponsorship for employment work visa and/or permanent residence status).
* Must have High School Diploma or the equivalent of.
* Must be at least 18 years of age.
* Experience working in cross-functional teams
* Computer knowledge for data entry and communication
* Proficient in MS Office

PREFERRED QUALIFICATIONS

  • Associate's Degree
  • Prior Administrative Assistant experience
  • Prior purchasing experience

Travel Requirements: 10%
