Job Summary: The Office Assistant III will assist the Domes Management team in daily clerical functions for the Horticultural Conservatory and Greenhouses. This position will primarily support the Visitor Team and work under the supervision of the Visitor Experience Coordinator. This role is crucial in ensuring and maintaining a high-level visitor experience. The Office Assistant III will be responsible for tracking various reports from the current point-of-sale, overseeing cashiers operations and cash handling, and maintaining petty cash count and logs. This position will also assist in processing permits, monitoring staff shared calendars, preparing correspondence and inter-office mail, responding to customer service inquiries, and assisting with special event assignments.



Essential Responsibilities:



  • Support cashiers in their duties and operations, Maintain petty cash count logs and monitor bank deposits made by cashiers to ensure deposits have been done correctly. Assist Visitor Experience Coordinator in reporting to Parks Accounting if an error occurred at closing and records need to be rectified.
  • Assist with customer service inquiries and reply to customers via email and phone. Support the visitor team with signage creation and orders for the Domes lobby and display case to enhance visitor experience. Assist Visitor Experience Coordinator in creating social media posts.
  • Maintain building inventories such as office supplies, cleaning supplies, building equipment, filters, etc.
  • Monitor and obtain all proper documentation to assist with Zilli Hospitality Group (ZHG) rentals (rental contract and layout). Monitor rental information posted in the shared Google Calendar.
  • Maintain spreadsheets and track attendance reporting using RecTrac reports and systems.
  • Prepare correspondence, compile procedural manuals, print reports, print and post relevant information in both facilities, and notify all staff members, other park departments, partners of pertinent information, and staff on site.
  • Assist with opening and closing procedures.
  • Perform all other duties as assigned.



Minimum Requirements:



  • Current resident of Wisconsin.
  • Possession of a valid Wisconsin Driver's License, able to be maintained throughout employment.
  • Possession of a High School Diploma or GED equivalent.
  • At least three (3) years of Customer Service experience.
  • At least two (2) years of Cash Handling experience.
  • Intermediate knowledge of Microsoft Office applications, including Word, Excel, PowerPoint, and Teams.
  • Willing and able to lift, carry, push, & pull 25 lbs.
  • Willing and able to travel up to 10% of the time in this role.
  • Willing and able to work weekends, regular work week is Wed-Sun, with 1 weekend off per month.
  • Willing and able to work occasional evenings during the busy season (November to March).



Preferred Qualifications:



  • Possession of an Associate Degree or higher in Business Management, Accounting, or Administrative Professional.
