Description
This is an exciting opportunity to work for one of the top law firms in the U.S.! Davis Wright Tremaine LLP is looking for a Paralegal - IP Litigation to join our team in our New York office.
We offer a hybrid work engagement with two days o f remote work, and three days in-office.
This position supports attorneys in patent litigation and complex litigation matters. The role requires a strong understanding of document management, factual research, coordination of case materials, and support of matter workflows. Responsibilities encompass all phases of litigation, including managing discovery, maintaining litigation databases, preparing materials for hearings and trials, and coordinating trial logistics. This role requires a comprehensive understanding of the litigation process, strong organizational and analytical abilities, and proficiency in litigation support technology. The ideal candidate is a proactive problem-solver with excellent interpersonal communication skills and a commitment to providing exceptional client service in a dynamic and fast-paced environment.

On a typical day you will:

  • Patent Litigation
    • Assist Attorney teams in managing intellectual property matters, particularly patents including the preparation and filing of patent applications, maintaining patent portfolios, conduction research and ensure compliance with legal deadlines
    • Provide paralegal support to attorneys through all phases of litigation
    • Manage all case materials, including all electronic files and database applications
    • Obtain from and filing with applicable Federal, State, and Local Courts and Agencies such as the District Court and before the USPTO
    • Liaising with clients and opposing counsel as needed
    • Organize and maintain case files, calendars, databases, and e-discovery systems; coordinate with vendors and trial technology teams
    • Assist with witness preparation, trial logistics, settlement support, and legal research as needed
    • Monitor case deadlines, correspondence, and filings to ensure compliance with court and agency requirements
    • Assist with motion practice, briefing, and filings in state and federal courts, as well as administrative forums
    • Assist Attorney/Case Teams in preparing for depositions, trials and arbitrations, as well as ensuring all logistics, exhibits, Courtroom technology, filings and deadlines are proactively tracked and managed
    • Familiarity with all forms and searching techniques in collecting and organizing patent- related resources and reference materials
    • Work with in-house secretaries and docketing personnel to ensure that both calendar systems contain accurate and current information (both in Litigation Docket and IP Docketing platforms)
    • Oversee creation, indexing, and continued maintenance of complex case files and document collections
  • Case Management
    • Serve as the central point of communication for litigation teams, ensuring seamless coordination and information sharing across all matter and case-related tasks
    • Maintain accurate and up-to-date calendar systems in collaboration with secretaries and docketing personnel to track important deadlines, court dates, and deliverables
    • Assist with the preparation, review, and proofreading of legal documents, filings, and agreements for accuracy, compliance, and alignment with jurisdictional standards. This includes proofreading legal memoranda for typographical and grammatical accuracy and verifying citations to legal authorities and evidence in compliance with The Bluebook and/or other court-specific requirements
    • Proofread legal memoranda to identify and correct typographical and grammatical errors; check all citations to legal authorities and to the evidence for accuracy of citations and forms of citation consistent with The Bluebook and/or specific court requirements; verify history of cited cases
    • Coordinate and manage court filings, either in paper or electronic form as determined by court requirements
  • Research & Discovery
    • Perform complex legal and fact research and analysis; retrieve and review documents from clients, other parties, and outside sources such as the Internet, public agencies, courts or libraries, as well as case, statutory and/or regulatory law; prepare memoranda or summaries documenting research
    • Manage the creation and maintenance of special collections of documents (including witness files, subject and issue files, experts' reliance documents, etc.)
    • May prepare initial drafts of discovery requests and responses and other pleadings and memoranda
    • Assist with and participate in collection of client and other parties' documents; manage detailed tracking of document collection; work with litigation support to ensure proper collection of electronic documents and files
    • Conduct interviews of witnesses and file custodians
    • Work with litigation support to retain vendors, as needed, for all aspects of document production and review; conduct quality control assessment of work performed by vendors
    • Draft memoranda or other documents memorializing in detail the processes used in collecting and producing client documents
    • Conduct initial review of client documents to determine responsiveness and relevance and to identify documents protected by attorney-client privilege, draft privilege logs
    • Perform complex database searches to locate and retrieve selected documents
    • Prepare the preparation of exhibits for use at depositions and maintain a system to track marked exhibits
    • Manage the collection and status of deposition transcripts; perform searches in the deposition full-text database; summarize deposition transcripts
  • Preparation for and Assistance at Trial or Other Proceedings
    • Assist with trial, arbitration, mediation, or deposition proceedings (tasks include, but are not limited to: preparation of and managing exhibit and witness lists, designations of deposition testimony, preparation of the trial brief)
    • Coordinate logistics with court personnel and other counsel
    • Familiarity with hearing board and/or trial/courtroom technology and presentation tools, helping to ensure seamless integration with courtroom personnel. Work with trial support vendor and/or internal litigation support staff to select, prepare, and operate courtroom technology
    • Provide on-site trial or hearing support as needed
    • Assist attorneys at trial, arbitration, mediation, or deposition (e.g., track and manage trial exhibits, coordinate with witnesses, operate courtroom presentation tools, act as liaison with court personnel, and summarize trial testimony)

Join us if you have:

    • 5+ years of paralegal experience, depending upon practice area and position available
    • Bachelor's Degree and completion of paralegal program of study, or clear demonstration of equivalent knowledge and skill
    • Knowledge of court and agency procedures and rules
    • Highly developed skills in time and task management
    • Highly developed attention to detail in striving for perfection in the firm's work product and client service
    • Advanced proficiency in the use of Microsoft Office computerized business applications (Word, Excel, and Outlook) for the creation and editing of complex documents, spreadsheets, and e-mail
    • Proficiency in the use of computerized legal research and document review/hosting databases; like LexisNexis, Westlaw, PACER, Relativity, IPRO for performance of legal and fact research and effective management of complex eDiscovery, evidence and case files
    • Proficiency in the use of trial support software, like Trial Director and OnCue, very desirable
    • Experience in supporting complex commercial litigation matters across multiple offices in multiple jurisdictions preferred
    • Post-college level writing and oral communication skills
    • Ability to communicate effectively and professionally with lawyers, clients and staff
    • High degree of attention to detail
    • Flexibility to work overtime and/or travel on occasion

New York
The annualized salary range for this position in New York City is $122,000 to $147,000. Actual pay will be adjusted based on experience and other job-related factors permitted by law. Full time employees may be eligible for a bonus, health insurance with an optional HSA, short term disability, long term disability, dental insurance, vision care, telemedicine and virtual short term solution based counseling services, life insurance, Healthcare and Dependent Care Flexible Spending Accounts, subsidized backup care and caregiving resources, 401(k), vacation, sick time, and an employee assistance program.
