Vice Chancellor for Student Affairs

Job Description

The Sr. Business Operations Associate plays a vital role in advancing the mission of Student Affairs by ensuring the division's financial operations run smoothly, accurately, and in full alignment with university policy. As part of the central finance team, this mid-level position partners closely with departments to support student organization funding, travel reimbursements, stipends, purchasing, and budget management-directly enabling programs and services that shape the student experience.

Blending strong financial acumen with a service-oriented mindset, this role is ideal for a detail-driven professional who enjoys problem-solving, improving processes, and building collaborative relationships. With broad exposure to divisional finance operations and compliance, this position offers an excellent opportunity for professional growth and advancement within higher education finance. This is a fully in-person role with flexible scheduling to support work-life balance.

Job Duties

1. Financial Transactions & Approvals

  1. Review and approve financial transactions in compliance with university policies, including:
    1. Student organization and graduate student travel reimbursements
    2. RA and Disability Center notetaker stipends (setup, approvals, tracking)
  2. Process standard journal entries for month- and quarter-end close. Investigate discrepancies as needed.
  3. Investigate and resolve discrepancies, budget errors, and system-generated exceptions.
  4. Coordinate and track requisition/purchase order status. Follow up with procurement and shared services as necessary.

2. Budget & Financial Operations Support

  1. Assist Business Managers with budget entry, updates, and reconciliation in Workday.
  2. Manage daily budget error reports and follow through to resolution.
  3. Track and report outstanding credit card transactions and follow up with departments.

3. Marketplace / eCommerce Support

  1. Serve as primary or backup administrator for the Student Affairs online marketplace/eCommerce solution.
    1. Build, update, and maintain online payment methods in coordination with departments.

4. Compliance, Risk & Inventory Coordination

  1. Manage tracking and submission of residence hall damage forms to Risk Management.
  2. Coordinate and verify biannual capital equipment inventory.
  3. Assist with annual space inventory verification.
  4. Conduct student organization travel fund audits when cash advances are used.

5. Customer Service & Shared Services Liaison

  1. Serve as the primary point of contact for departments regarding:
    1. Stipend status questions
    2. Purchase order / requisition status
    3. Status of payment of requisitions and stipend payments
  2. Explain finance policies, timelines, and requirements in a clear, service-oriented manner.
  3. Escalate complex or non-routine issues to Business Managers as appropriate.
Shift

Monday - Friday, 8:00 AM - 5:00 PM (flexible scheduling available to support work-life balance)

This position may require evening and weekend hours supporting activities and programs within the department. Occasionally division and campus projects may require additional hours outside of your normal schedule.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 4 years of experience from which comparable knowledge and skills can be acquired is necessary.

Anticipated Hiring Range

Range: $52,915.20 - $64,000 annually, paid monthly
GGS/PAT Level: 010
