Job Description:
VMI Vendor Coordinator (VMI Business & Contracts).

Role Summary
As a VMI Vendor Coordinator, you are responsible for managing Vendor-Managed Inventory (VMI) suppliers, VMI business execution, and contractual compliance to ensure material availability, cost control, and service level performance. This role serves as the primary interface between VMI suppliers and internal stakeholders, overseeing inventory agreements, replenishment processes, supplier performance, and contract adherence.
The position partners closely with Procurement, Supply Chain, Contracts, Warehouse, Logistics, Sales, and Finance to drive inventory optimization, delivery reliability, and total cost of ownership for VMI programs.

Key Responsibilities
  • Manage day-to-day execution of VMI supplier relationships, ensuring inventory levels, replenishment cycles, and service levels align with contractual agreements.
  • Act as the primary point of contact for VMI suppliers, resolving issues related to inventory availability, delivery performance, data accuracy, and compliance.
  • Coordinate and administer VMI contracts and commercial agreements, including pricing, lead times, inventory thresholds, and service level agreements (SLAs).
  • Monitor and manage VMI inventory performance, including stock levels, consumption trends, forecast accuracy, and obsolescence risks.
  • Collaborate with Procurement and Contract Management to support contract renewals, amendments, and onboarding of new VMI suppliers.
  • Validate pricing with suppliers, request updated pricing as necessary to ensure purchase order approval by the vendor and internal stakeholders.
  • Ensure suppliers comply with contractual terms, inventory ownership rules, billing processes, and reporting requirements.
  • Partner with warehouse and logistics teams to ensure accurate physical and system inventory and timely replenishment.
  • Maintain and update ERP and inventory systems (e.g., SAP) to ensure accurate VMI data and supplier records.
  • Track and report supplier performance metrics including fill rates, on-time delivery, inventory turns, and stock availability.
  • Lead supplier performance reviews and continuous improvement initiatives to improve service and reduce cost.
  • Identify risks and opportunities related to VMI inventory, contracts, and supplier capacity.
  • Ensure adherence to internal procurement policies, compliance requirements, and audit standards.
  • Analyze discrepancies in historical pricing and present findings to the VMI team on an adhoc basis.
Minimum Qualifications
  • Experience in supply chain, procurement, inventory management, or vendor coordination, preferably in a VMI environment.
  • Strong ability to manage supplier relationships and contractual obligations.
  • Experience working with ERP and inventory systems (e.g., SAP).
  • Strong analytical, organizational, and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Strong expertise in the Microsoft Office suite (Excel, Word, Outlook).
  • Ability to manage multiple priorities in a fast-paced environment.
Preferred Qualifications
  • Direct experience supporting Vendor-Managed Inventory (VMI) programs.
  • Familiarity with supplier contracts, SLAs, and commercial terms.
  • Experience tracking inventory KPIs such as inventory turns, fill rates, and service levels.
  • Experience coordinating with warehouse, logistics, finance, and sales teams.
  • Knowledge of inventory optimization or continuous improvement practices.
  • Experience with analytics using Business Intelligence software (Power BI, Tableau).
