| Brief Summary of Work for this Position |
The Director of Conferences, Events, and Reservations is responsible for several functional areas including the Conference Services unit, the Campus Life Reservation's Office, and the Campus Life Events and Technology team. The Director directly supervises three full-time professional staff positions and indirectly supervises four other full-time professional staff and approximately 30 student employees. The Director of Conferences, Events, and Reservations is an integral member of the Campus Life (CL) Leadership team and serves in the absence of the Executive Director in cooperation with the Director of Campus Life Facilities and Business Operations and the Director of Student Involvement and Leadership.
Responsible for facilities reservations and scheduling using the Event Management Systems (
EMS) system which includes daily operations of events, reservations, scheduling, planning, and billing in all Campus Life facilities. Additional responsibilities include revenue generation and billing for both internal and external clients, and developing marketing, sales, and business plans for internal events and conference services. This position also oversees technology and event production in Campus Life spaces.
Provides overall supervision for coordination of campus-wide, non-course space reservations and coordinates efforts of campus space schedulers. Serves as the main liaison to
ITS for-campus
EMS software integration and upgrades. Presents/reports space usage and scheduling data for campus-wide, non-course events. Assists with compliance efforts for all university, state, and federal guidelines such Minors Policy and Facility Use Policy and Procedures. Interprets and enforces policy for Campus Life facilities usage in accordance with university policies; develops Facilities Use Agreement language for internal and external clients; convenes and advises the CL Advisory Board; and advises the Executive Director and Vice Chancellor of Student Affairs regarding conferences and events business practices, potential policy changes, and strategic planning. Serves on the Academic Calendar Committee to make certain university mission driven events and conferences are not in conflict with academic calendar. |

- Bachelor's Degree in business administration, public administration, event or hospitality management or related degree
- 3 or more years progressive leadership in student union, campus life, conferences and events, or related field
- 2 or more years of experience supervising professional staff
- 3 or more years of direct event and/or conference management experience
- 3 or more years of budget management experience

The Division of Student Affairs consists of eleven functional departments, each of which is responsible for providing a variety of student support, service, and educational programs which are accessible to all members of the university community. Student Affairs provides excellent delivery of student services that are responsive to student needs and promotes the quality of life and education both inside and outside the classroom. The Division is a leader and primary spokesperson for students.
The Campus Life department supports and gives direction to out-of-classroom learning. Based on the philosophy that learning is not confined to the classroom but is constant and on-going, the mission of the department is to facilitate the educational process by providing a laboratory experience for student growth, and an arena for the development of cultural, social, leadership, and recreational awareness. This is accomplished through the administration of the Fisher Student Center, University Union, Burney Center and Warwick Center and their programs and services, by providing guidance and resources to student leaders and organizations and serving as the campus' central point of reference regarding leadership development, student activities and organizations, fraternity and sorority life, and service learning and community engagement.
Campus Life also serves as the first point of contact for conference and event planning and assumes the space scheduling coordination function for all campus space (except for academic course scheduling) and works with campus space stewards in various departments throughout campus to ensure timely, coordinated service for all customers.
The Conferences, Events, and Reservations unit is an integral part of the Campus Life department. Our facilities are student-centered and serve as focal points for campus life outside the classroom, enhancing the university's mission to offer a well-rounded educational experience to its students. Within the facilities are a variety of resources, spaces and services to meet the needs of the campus community as well as external clients seeking to utilize Campus Life space. Conferences, Events, and Reservations support over 11,000 events every year in the facilities and generate revenue for the university. Conferences, Events, and Reservations staff coordinate campus space scheduling for non-course activities, coordinate campus training for
EMS schedulers and space users, and assumes the role of
EMS software user-owner. |
