Job Summary
The Office of Scholars, Interns, and Professionals provide centralized administrative support to Trust-wide grant recipients, special guests, and their families before and during their residence at the Getty. Working across all programs at Getty, OSIP sustains a high-quality service to help invited guests to achieve their academic, professional, and personal goals by functioning as a resource for a variety of life and administrative needs. The OSIP staff members work as a team. In addition, OSIP provides immigration support for Getty's international community by providing guidance and support through the visa process, and duration of their residency. The International Student Advisor works both independently and in collaboration with OSIP team members and program partners to sustain and enhance processes that support grant recipients. Reporting to the OSIP Supervisor, the International Advisor's primary responsibilities include interpreting and applying immigration regulations, exercising sound judgment and discretion, while providing direct immigration advising of international exchange visitors, educating them on maintaining lawful status, and supporting the Office's regulatory and compliance efforts. This role is eligible for remote work, subject to business needs and supervisor's review. Regular on-site reporting is required. Programs and events will occasionally include evening hours.
Major Job Responsibilities
Serve as a central resource for grant recipients by providing guidance on immigration, administrative processes, and day-to-day life needs.
- Communicate requirements, deadlines, and institutional processes to grant recipients.
- Coordinate with programs and/or departments across the Getty to deliver seamless, consistent support.
- Foster a welcoming and inclusive environment that promotes guest well-being, engagement, and success.
- Ensure grant recipients remain compliant with immigration and institutional requirements while minimizing administrative barriers to their work.
- Serve as an Alternate Responsible Officer (ARO) for Getty's J Exchange Visitor Program, ensuring compliance with J-1 regulations and all applicable federal, state, and institutional requirements.
- Interpret and apply immigration regulations to create, maintain, and update SEVIS (Student & Exchange Visitor Information System) records in accordance with DHS and DOS policies.
- Advise J-1 exchange visitors on immigration compliance, visa status, and international travel; prepare required immigration documentation.
- Stay current on immigration laws and policies to provide accurate, timely, and compliant guidance.
- Maintain accurate, confidential electronic records in systems including SEVIS and Glacier Tax Preparation within a paperless environment; manage attestations, emergency contacts, and required evaluations.
- Collaborate with the OSIP Supervisor and campus partners to address compliance issues and implement regulatory solutions.
- Coordinate with internal departments (e.g., Getty Scholar Program, HR Benefits, Foundation, and Payroll) on program-related matters.
- Support time-sensitive and crisis-related case management as needed.
- Contribute to the development and continuous improvement of services, policies, procedures, and processes supporting grant recipients.
- Maintain and regularly update OSIP's website to ensure accurate, clear, and current information regarding immigration requirements, policies, procedures, and resources for international students and scholars.
Qualifications
- Bachelor's degree required, Master's preferred
- Minimum 4-6 years related experience
- Experience in international student/scholar services, immigration advising, or compliance-related work
- Familiarity with U.S. immigration regulations, particularly J-1 Exchange Visitor Program policies and SEVIS
- Ability to interpret complex regulations and develop practical solutions
- Strong attention to detail and accuracy in managing sensitive records
- Excellent written and verbal communication skills
- Demonstrated ability to work effectively with individuals from diverse cultural backgrounds
- Proficiency with databases, electronic records, and standard office software
- Knowledge of Quire online publishing tool and basic coding for website integration preferred
- Ability to work occasional evenings
- In accordance with the regulations at 22 CFR 62, the individual in this position must be a citizen or lawful permanent resident of the United States to serve as an ARO
- This position is not eligible for employer-based immigration sponsorship. Applicants must have authorization to work for Getty in the United States without the need for sponsorship, currently or in the future
Knowledge, Skills and Abilities
- Knowledge of U.S. immigration laws and regulations affecting foreign scholars and nonimmigrants (J-1 and F-1)
- Knowledge of non-immigrant tax requirements, and filing, including Glacier and GTP
- Ability to interpret, apply, and explain complex immigration regulations with sound judgment, discretion, and attention to detail
- Strong written and verbal communication skills, including professional email and telephone etiquette, with the ability to work effectively with diverse and multicultural populations
- Excellent organizational, critical-thinking, and time-management skills, with the ability to prioritize complex workloads
- Proficiency with Microsoft Office (including Outlook), AirTable, data entry systems, and online content management tools
- Ability to work independently and collaboratively across advising, compliance, programming, and administrative functions
- Commitment to confidentiality, grantee well-being, and a welcoming, service-oriented environment
- Demonstrated initiative in identifying process improvements and ensuring ongoing regulatory compliance
