Job Purpose

The Administrative Assistant serves as the first point of contact for visitors and callers while also supporting broader administrative and operational functions. This role combines front-desk responsibilities with high-level administrative support, including invoice processing, event logistics, and security system oversight. The ideal candidate is highly organized, tech-savvy, and capable of managing multiple priorities in a dynamic office environment.

Essential Duties and Responsibilities
  • Greet and direct visitors in a professional and welcoming manner.
  • Manage incoming calls and inquiries, routing them appropriately.
  • Maintain visitor logs and issue badges in accordance with security protocols.
  • Provide administrative support to the Executive Support Team.
  • Process, code, and track invoices using internal systems.
  • Coordinate logistics for corporate events, including vendor communication, scheduling, and on-site support.
  • Monitor and manage the Verkada Security System, including access control and camera oversight.
  • Ensure the reception and common areas are clean, organized, and stocked.
  • Coordinate using Microsoft Outlook, ensuring optimal scheduling of meetings, appointments, and events.
  • Manage meeting logistics including agendas, attendee coordination, conference room reservations, and technology setup (Teams/Zoom integration).
  • Support special projectsand perform other duties as assigned.
Qualifications

Required:

  1. 2-4 years of experience in an administrative or receptionist role, preferably in a corporate setting.
  2. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) is required.
  3. Experience with invoice processing and basic accounting principles.
  4. Strong organizational and multitasking skills.
  5. Excellent verbal and written communication abilities.
  6. Associate's or Bachelor's degree in Business Administration or related field preferred.

Preferred:

  1. Experience with event planning or coordination.
  2. Familiarity with the Verkada Security System or similar platforms.
  3. Bilingual or multilingual skills are a plus.

  • This position will work in an office setting, expect minimal physical demands.
