Summary of Job Duties:40% Job duty 1 -
This position will organize and coordinate the departmental T32 grant graduate program providing support and guidance for the grant funded program and the campus funded portions of the program. The position will assist graduate students and their mentors in utilization of the funding and meeting goals of the program as well as planning out T32 meetings & seminars and planning for speakers as required. Must coordinate with all stakeholders as well as individual projects. Must prepare program budget, track program spending, reconcile program expenses, prepare program reports for reporting purposes and evaluate all resources for the project.

40% Job duty 2 -
Act as the Executive Assistant to the Chair of the department in assisting is meeting all goals of the department. Will assist in planning department meetings as well as planning other meetings directed by the Chair of the department. Will sometimes act as coordinator of the meetings and plan all aspects as needed. Plan department events in coordination with other admin staff and stakeholders. Enhance communication by composing and updating text and compiling information for the department website. Provide administrative support to the department chair, vice chair, and other faculty and department committees as needed. Assist in maintaining the department video board with events, reminders, and accolades for department personnel.
Maintain the departmental student/alumni database. Conduct special studies/surveys and prepare reports and/or surveys related to educational and other academic programs. Prepare and distribute dissertation/thesis announcements for graduating students.

10% Job duty 3 -
Serve as travel administrator for the department. Duties will include planning travel for faculty staff & students as well as incoming speakers. Must be proficient in the campus travel system and knowledgeable in state and campus travel regulations. Need to instruct travelers of rules regulating travel of state employees so there is no miscommunication. Prepare and reconcile travel within the campus systems and reconcile the travel account each month.

10% Job Duty 4 -
Other duties as assigned based on department admin needs. Serve as back-up for other administrative duties within the department which may include ability to order supplies and back up educational support. Qualifications:

Bachelor's degree in Business Administration, Accounting, or related field plus four

years' program management experience.

Specific training related to grant experience preferred.

Experience with the Workday system is preferred.

Knowledge & experience of the UAMS systems including travel would be preferred as well.
