Description

The Vetting Specialist is responsible for supporting the background check investigation process for all personnel at the Eagle Lake Children's Center program for unaccompanied children under the Office of Refugee Resettlement. This job requires a moderate to high level of daily administrative and Human Resource duties that will provide support to the Talent Acquisition team at the Eagle Lake Children's Center. This professional will coordinate and document responses to background check inquiries/results, compile documentation appropriately, and ensure compliance with all background check requirements across the program. The Vetting Specialist follows an established process for communicating with candidates and gathering all required documentation including, but not limited to, background checks, previous employer checks and education requirements. This position works collaboratively with the recruitment team and program leadership to ensure all steps of the vetting and hiring process are followed, and that candidates are responded to in a timely, professional manner.


Qualifications

ESSENTIAL JOB RESPONSIBILITIES:



  • Act as the primary point of contact for all background check correspondence with government and private entities.
  • Maintain ongoing communication with on-site program and department leadership related to compliance with background check and suitability processes.
  • Facilitate, assist candidates, and review initiations and results for all background checks.
  • Stay up-to-date on changes to policies and procedures that impact personnel eligibility.
  • Conduct quality assurance review to ensure background checks are submitted completely and accurately prior to submission and within the required timeframes and deadlines.
  • Help to disseminate, track, and maintain accurate and confidential documentation/files on all program personnel.
  • Enter relevant data into HR information system (Paycom), ORR App Launcher (Program Operation Hub and Tableau), track documentation, and audit for accuracy and compliance of personnel records for staff.
  • Support onboarding activities related to background checks.
  • Liaise with the Office of Refugee and Resettlement and Health and Human Services and submit reports and spreadsheets directly regarding all background check investigations.
  • May assist with recruitment duties such as posting positions, reviewing applications, scheduling interviews, or making job offers to selected candidates.
  • Support and complete other duties assigned.

ADDITIONAL QUALIFICATION/REQUIREMENTS:



  • Must be at least 21 years old.
  • Proficiency in Spanish/English (written and spoken language skills), preferred.
  • Ability to perform duties successfully using manual hiring processes/systems.
  • Intermediate proficiency in Microsoft Office products and Google tools.
  • Successfully pass a TB test annually and document preference to receive or decline Hepatitis immunization.
  • Be physically, mentally, and emotionally capable of performing assigned tasks and have the skills necessary to perform assigned task.
  • Pass a criminal history screen, including state and local child protection agency registries.
  • Successfully pass a drug screen.
  • Ability to work independently and exercise a high level of confidentiality.
  • Complete a notarized Licensing Affidavit for Applicants for Employment form, as specified in Human Resources Cod *42.059.


EDUCATION: Associate's Degree/Bachelor's Degree (preferred) or High School Diploma (GED) and 4 years of HR experience.

EXPERIENCE: Minimum of 3 years of employment experience, preferably including HR systems, quality standards, best practices, and compliance.

ATTENDANCE: Must maintain regular and acceptable attendance at such a level as is determined in the employer's sole discretion.

LICENSES/CERTIFICATIONS: N/A

VEHICLE: Must have a valid driver's license and clean record.

OTHER: Must be available and willing to travel to various locations and in cases of an emergency evacuation and as the business need dictates. Must be available and willing to work nights, weekends and holidays as required to meet business needs. Willingness to work other duties as required.

WORK LOCATION:Hybrid- Must be able to work from home in a private space and transition to the Eagle Lake Children's Center (in-person) on multiple days throughout the week.
