The State Highway Administration's (SHA) Office of Traffic and Safety (OOTS) is currently recruiting for an Administrative Assistant Executive in Anne Arundel County. This position is open to anyone who meets the minimum and selective qualifications listed below. This is a temporary position recruitment. The resulting list of eligible candidates will be used to fill this vacancy or function only. You will need to reapply for any future recruitment conducted for this job classification.

Nature of Work: This position serves as an Executive Administrative Assistant in the Director's Office. The incumbent will receive general supervision from the Director and two Deputy Directors who oversee five divisions, with over 200 employees (state and consultant). This position requires knowledge of the organization, operations, policies, and programs under the Office of Traffic and Safety, State Highway Administration (SHA), and the Maryland Department of Transportation ( MDOT) modes. Along with a second Executive Administrative Assistant within the Director's Office, the incumbent will be responsible for consistently tracking and ensuring that tasks assigned to staff by the Director or Deputy Directors are completed by the established deadline. Specific duties of this position include, but are not limited to, processing incoming and outgoing mail, maintaining an adequate inventory of office supplies, processing invoices for payments using the EPICS system, managing a corporate credit card, tracking and processing residential parking requests, serving as the office representative for the Maryland Charity Campaign, completing the annual fixed asset inventory for the Director's Office, and coordinating office ceremonies/events throughout the year. The position regularly interacts with higher-level management within SHA, MDOT, private executives, professional staff, the public, and representatives of elected officials and requires excellent written/oral communication skills. Proficiency in Microsoft Word, Excel, Outlook, PowerPoint, and Adobe are a must. This position will be assigned tasks that entail confidential matters, and the incumbent is expected to exercise considerable tact, discretion, and judgement in all areas of work.

Qualifications

Education: Graduation from a standard high school or possession of a high school equivalency certificate.

Experience: Five years of experience in secretarial work.

Notes:

1. Applicants may substitute additional secretarial or clerical experience on a year for year basis, for the required education.

2. Applicants may substitute an Associate of Arts degree with a major in Secretarial Science from an accredited college for up to two years of the required experience.

3. U.S. Armed Forces military service experience as defined under the Minimum Qualifications may be substituted for the education and experience on a year-for-year basis.

The incumbent may need to be available by phone after regular work hours, work past the regular end of shift, report to the office on scheduled telework days, and/or may be required to report to work after hours as needed for operations.
