Overview
Responsible for coordinating daily and monthly staffing schedules for the Benedictine Internal Float Pool. Fills open shifts submitted by Benedictine communities through a centralized ticketing system, ensuring appropriate staffing coverage based on community needs and resident acuity/census. Partners with Talent Acquisition to support recruiting efforts and supporting the onboarding of new IFP associates. Supports HR functions by assisting with the implementation of policies, procedures, and compliance-related tasks as directed.
Responsibilities
Review Internal Float Pool associate availability, licenses, and certifications regularly to identify scheduling opportunities that align with associate qualifications and preferences.
- Match available associates to open shift requests submitted by Benedictine communities and confirm scheduled shifts directly with each associate. If an IFP associate is cancelled by a community, attempt to re-staff the associate elsewhere.
- Provide confirmed shift coverage details to requesting communities and schedule Community Onboarding Checklist shifts for associates new to a community to ensure a smooth transition. Maintain accurate records of associates trained and in good standing at each Benedictine community in order to facilitate efficient and effective deployment of IFP associates.
- Monitor associate participation to ensure compliance with shift requirements - minimum of two shifts per month.
- Maintain an up-to-date contact list of Internal Float Pool associates and manage their inclusion in email, text, and other communication lists by adding or removing individuals as needed. Enter and update associate entries in PDS if HR Representative support is limited.
- Audit and approve timecards and punch requests for Internal Float Pool associates. Collaborate with community staff and HR to resolve missing punches, unscheduled shifts, or discrepancies. Maintain master attendance files and document attendance or tardiness in accordance with policy.
- Assist with delegated recruitment activities such as conducting reference checks, employment verifications, background checks, and validating licenses and certifications. Work closely with the Talent Acquisition Partners and Talent Acquisition team to schedule and complete interviews for potential Internal Float Pool associates. Promptly inform the Talent Acquisition team if an offer will not be made so they can provide feedback or rejection notices to applicants.
- Provide customer service and support to Benedictine communities by attending scheduled meetings, maintaining records of associates in the onboarding process, confirming needed positions for posting and communicating these to the Talent Acquisition team, answering questions regarding processes and procedures, and supporting communities during associate investigations and concerns.
- Ensure compliance with Benedictine standards of behavior, conduct, customer service, and professional ethics.
- Communicate promptly with the Internal Float Pool Manager regarding performance issues such as absenteeism, tardiness, community concerns, disciplinary actions, investigations, or any matters that could result in termination. Assist Internal Float Pool Manager with information for written warnings or termination information.
Qualifications
QUALIFICATIONS REQUIRED
- Associate's Degree in business, management or human resources management, or closely related discipline
- Two (2) or more years of experience in recruitment
- Experience using Scheduling software
QUALIFICATIONS PREFERRED
- Bachelor's Degree in HR or related field preferred
- Knowledge of the healthcare or long-term care industry
- Agency experience
