Salary/Grade: EXS/7

Target hiring range for this position will be between $64,000-$78,000 per year. Offered salary will be determined by the applicant's education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data

Job Summary:

Provides direction and support, to ensure proper admissions operations workflow. Oversees the admissions application software system, Slate CRM and related university systems with a focus on achieving enrollment goals. Serves as lead functional administrator for enrollment management systems. Focuses on efficiencies, system optimization, governance, and collaborative system use. Applies a thorough understanding of the principles and practices of the admissions process and reporting. Works closely with counterparts across Northwestern and McCormick to continually review processes, identify opportunities for improvement and implement these changes. Manages all aspects of the application process in support of an applicant pool of over 3,500 applicants annually.

Specific Responsibilities:

Admissions Operations

  • Design and/or improve operational processes and systems to promote efficiency and enhance the admissions process.
  • Oversee, update and manage all office procedures and manuals.
  • Troubleshoot technical issues in application processes and university legacy systems. Provide solutions and best practices moving forward.
  • Support Admissions Committees throughout the admissions cycle; assist with their utilization of Slate CRM.
  • Facilitate the pre-matriculation process for incoming students, which includes working with the Office of International Student and Scholar Services (OISS) to assist with the onboarding of international students, the Office of the Registrar, and the Graduate School.
  • Act as the primary Slate CRM expert for the office
  • Provide training to admissions teams and support staff to enhance their work with Slate CRM.
  • Implement feature updates to improve the end-user experience and support efficient workflows.
  • Oversee the development, testing, and release of updates.
  • Design, build, update, and maintain all Slate-based forms and application decision processes.
  • Manage elements such as checklists, reader bins and forms, document uploads/storage, and admission and scholarship letters.
  • Oversee the McCormick email accounts daily - responding to inquiries, delegating inquiries as appropriate, resolving complex inquiries, processing other updates and decisions that arrive via email.

Data Analysis and Reporting

  • Continuously provide statistical data regarding composition of class, applicant pool, and other information needed for institutional and daily internal reporting for school partners.
  • Design and distribute surveys for current applicants, admitted students, and matriculating students throughout the cycle to collect and analyze data to determine where improvements can be made.
  • In partnership with Marketing and Communications, manage applicant communications and data, ensuring proper, timely, and accurate information.

Leadership and Strategy

  • Ensure compliance of Admissions policies and procedures and assist in developing and implementing technical training for the admissions team.
  • Willingness and ability to exercise judgment and initiative and to interact with faculty, students, personnel, and outside agencies in a professional manner.

  • Help lead an efficient and effective team by encouraging and helping foster a positive team-oriented work environment through effective communication.
  • Track all aspects of the Admissions process, note areas for improvement for future application cycles, and work to implement changes

Minimum Qualifications:

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience

  • Demonstrated ability to work effectively, independently, and as a member of a team.

  • Excellent interpersonal, communication (written and oral), presentation, analytical, organizational and project management skills.

  • Experience in higher education admissions.

  • Attention to detail and accuracy.

  • Proficiency in database management, spreadsheets, and other computer software.

Preferred Qualifications:

  • Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience

  • 3-5 years' experience in a higher education admissions operations role.

  • Prior experience in an administrator role managing a database management system or application management software, specifically, Slate CRM.
