Position Purpose |
The A&S Division Coordinator - Sciences provides high-level administrative and operational support to the Associate Dean for the Sciences within the Arts & Sciences division. The Coordinator serves as a trusted liaison and point of contact for faculty, staff, students, and external stakeholders, ensuring the seamless execution of divisional processes including faculty hiring, tenure and promotion, and divisional initiatives. Operating with a high degree of independent judgment, discretion, and initiative, this position plays a critical role in facilitating the effective administration of the Sciences Division and contributing to the success of the broader Dean of Faculty Office. |

Skills & Knowledge:
- Strong organizational and time-management skills; ability to manage multiple priorities in a fast-paced environment.
- Excellent written and verbal communication skills.
- Demonstrated discretion and sound judgment in handling confidential and sensitive information.
- Ability to work independently and collaboratively, with attention to detail and initiative.
- Proficiency in Microsoft Office Suite; ability to learn and use systems such as FileMaker, Interfolio, DCARS, OnBase, and eForms.
- Commitment to equity, inclusion, and working in a diverse professional setting.
Experience:
- +5 years of administrative experience, preferably in a higher education or similarly complex environment.

Key Accountabilities
Description |
Liaison and Communication
- Acts as the primary point of contact for the Associate Dean, serving as liaison to faculty, staff, students, visitors, and administrative offices on matters related to the Sciences Division and affiliated academic programs.
- Responds to inquiries and requests on behalf of the Associate Dean, often taking action independently based on established policy and precedent.
- Represents the Sciences Division in regular interactions with the Dean of the Faculty Office, academic departments, central administrative offices, and campus partners.

Description |
Division Administration
- Maintains and tracks divisional commitments, manages the Associate Dean's discretionary fund, and coordinates contracts, grants, and other administrative matters in collaboration with the Executive Officer's team.
- Provides comprehensive administrative support to the Associate Dean, including calendar and correspondence management, meeting preparation, and drafting memos and reports.
- Supports the work of the Science Divisional Council and other committees by scheduling meetings, preparing agendas and minutes, maintaining records, and ensuring appropriate follow-up with campus stakeholders.

Description |
Faculty Administration
- Coordinates all faculty personnel processes for the Sciences Division, including searches, appointments, reappointments, and tenure and promotion reviews.
- Prepares and manages tenure and promotion dossiers; communicates with departments, external reviewers, students, and alumni.
- Manages logistics and documentation for candidate interviews, recruitment visits, and appointment files.
- Works closely with Dean of Faculty Office staff to ensure alignment with institutional policies and timelines.

Dean of Faculty Office Support
- Collaborates with Dean of Faculty staff to maintain smooth daily operations across divisions.
- Shares responsibilities for office-wide administrative tasks including phone coverage, mail distribution, and records management.
- Provides backup support to the Dean of the Faculty, the Executive Assistant, and other Associate Deans as needed.
- Participates in staff meetings and contributes to special projects and ongoing office initiatives.
