Job Details:
Mercer University's Georgia Rural Health Innovation Center is searching for an Administrative Support Assistant.

Responsibilities:

Reporting to the Director of Rural Pediatrics Projects, this position functions as the first line of communication for the Center and must be able to set a professional, dynamic tone. The primary responsibility of this position is to staff the Georgia Rural Health Innovation Center front desk reception area, providing a warm, friendly, and welcoming greeting to all visitors and guests of the Center. This position will also be responsible for answering the main phone line into the Center in coordination with the Administrative and Finance Support Services Coordinator, and taking appropriate messages and/or forwarding calls to the appropriate people. This position will manage returned Travel Authorizations and travel calendar in coordination with the Administrative and Finance Support Services Coordinator's guidance, and provide administrative support for other projects as assigned. This position will also be responsible for maintaining office supplies for the Center and up keep of supply closets, as well as other assigned duties.

Duties include:
  • Greet all visitors, guests, and students that enter the Center in a warm, friendly, and welcoming manner. Manage the front desk receptionist area.
  • Answer the main phone line into the Center in a friendly, welcoming, and helpful manner, take messages and forward calls as appropriate.
  • Calendar travel submissions for the Center under the guidance of the Administrative and Finance Support Services Coordinator.
  • Provide administrative support and other projects as assigned by the Center Executive Director, Director of Rural Pediatrics, Director of Communications and Events and/or the Administrative and Finance Support Services Coordinator.
  • Assist with Center events and Center hosted events as requested and handle guests needs under the guidance of the Administrative and Finance Support Services Coordinator.
  • Manage the daily incoming and outgoing mail and deliveries for all employees in the Center.
  • Manage office supplies and provide list of items needed for purchase to Administrative and Finance Support Services Coordinator.


Qualifications:

A high school diploma/GED and one year of administrative support experience are required. Candidates must have proficiency in Microsoft Word, Excel, and Adobe PDF Pro.

Knowledge/Skills/Abilities:
  • Must be able to communicate effectively with key individuals in other organizations/agencies across Georgia, as well as all management levels within the Center and MUSM.
  • Word processing and Excel to prepare various reports, correspondence, and documents.
  • Ability to proficiently and accurately prepare and enter documents into computer system.
  • Ability to maintain strict confidentiality as a liaison between administrative staff.
