Combined Courts


Hourly Pay Range: $18.91 - $24.23

Job Summary: Under general direction of the Clerk of Circuit Court, to perform complex and specialized clerical and administrative support to the Clerk of Circuit Court, the judiciary, and administrative staff.



Essential Duties and Responsibilities:



  • Coordinating with other departments to ensure their requisition requests are processed timely and efficiently. Performing cost analysis to ensure most competitive pricing option is achieved. Maintaining positive vendor relationships to ensure most competitive pricing. Sorting, assigning, coding and preparing financial documents for payment. Procuring and maintaining annual maintenance contracts for office machines.
  • Tracking and monitoring other departments requisition requests to ensure they are paid punctually. Processing, tracking, and monitoring of payments for transcripts, court reporters and interpreters. Preparing, processing and auditing expense reports. Processing and maintaining records of travel and education expense reports. Creating and maintaining spreadsheets to answer any questions from parties or court reporters
  • Creating, maintaining and analyzing monthly and annual statistical reports. Coordinating with other departments for the designing, preparing and distributing of the Annual Court Statistical Report. Distributing the report to the public
  • Coordinating with other departments to track and analyze usage of office equipment. Creating and maintaining Excel spreadsheets to determine cost effectiveness and efficiency of products. Researching pricing on replacement equipment and making proposals to the Sr. Financial Manager.
  • Creating and preparing the grant request for reimbursement of wages and benefits for the Chief Judge's secretary, in accordance with the State of Wisconsin Stat 753.07.
  • Assisting Clerical Specialist and Courts with any task or duties as required. Acting as a backup to that position as needed.
  • Coordinating with other departments to ensure timely delivery of interdepartmental and U.S. mail. Special projects and other duties as assigned.


Minimum Education & Years of Experience Required:



  • High School Diploma or G.E.D. equivalent
  • Wisconsin Resident
  • Two years of purchasing and office clerical experience.

  • Write routine reports, correspondence, and speak effectively before both internal and external groups.
  • Regularly make decisions involving how a project or operation will be conducted (i.e. sequence or method), and generally from an available set of alternatives and precedents.
  • Work of a relatively routine nature. Requires the ability to understand and follow instructions.
  • Structured work, following a limited variety of standard practices.
  • Generally structured work but involving a choice of action within limits of standard policy and procedures.
  • Generally diversified and moderately difficult work. Requires judgment in the adaptation and interpretation of established practices and procedures to meet problems and situations to which the application is not clearly defined
