Summary: Performs a variety of secretarial and clerically related patient/client support to the department including but not limited to data entry, record keeping and maintenance of records. Under the direct supervision of the program manager with functional guidance from the Certified Tumor Registrars (CTR), the administrative assistant performs a variety of tasks related to registry operations. Responsibilities: KEY RESPONSIBILITIES:
- Identifies new cancer cases by referencing sources of information including daily physician dictation, daily registration review and weekly inpatient discharge sheets
- Supports the abstracting procedures by performing case finding.
- Updates the cancer registry electronic suspense file by creating abstracts with basic demographic information.
- Researches and gathers treatment information for the CTRs and maintains follow-up on the required percentage designated by the Commission on Cancer (CoC).
- Performs annual follow-up on all living patients to determine disease status, to code recurrence information and to record subsequent treatment.
- Researches multiple media sources for death information including the Social Security Death Index.
- Processes newspaper obituaries and weekly electronic death notice lists from local town clerks.
- Maintains the privacy and security of patient health information (PHI), adhering to federal and state laws and regulations and facility policies.
- Researches the monthly control list for follow-up information.
- Communicates effectively with physician offices and local hospital cancer registries for treatment and follow-up information.
- Distributes follow-up request letters.
- Responds to outside requests for treatment information while adhering to HIPAA standards.
- Demonstrates respect and regard for the dignity of all patients, families, visitors, and fellow employees to ensure a professional, responsible, and courteous environment.
- Communicates effectively with internal and external customers with respect of differences in cultures, values, beliefs and ages, utilizing interpreters when needed.
- Performs other duties as assigned
Other information: REQUIRED QUALIFICATIONS:
- Six months' previous experience; with familiarity and medical terminology preferred.
- Strong data entry experience
- Ability to work independently and use good judgement regarding confidentiality
- Great communication and organizational skills
- Proficient in navigating the internet
- Knowledge and understanding of medical terminology, pathology and oncology
- Microsoft Office, familiarity with Metriq, Meditech preferred
EDUCATION:
- High school diploma or equivalent required. Associate's degree preferred.
- Medical Assistant, allied health, or similar certification preferred
