Job Summary The Administrative Specialist Sr. in Information Technology supports departmental and College operations through procurement coordination, contract lifecycle management, and vendor communications. This role ensures timely and compliant purchasing processes while maintaining strong relationships with internal and external stakeholders. The position also organizes and facilitates meetings and events, contributing to the smooth execution of IT initiatives across the college and district. Strong organizational, communication, and multitasking skills are essential for success in this role. Essential Functions 60% - Procurement processing Purchasing requisitions in Financial Management System (FMS), Purchase Orders, Travel Authorization (TA) tracking, and invoicing; procurement card (ProCard) purchasing and reconciliation; internal departmental purchase and asset management tracking. 15% - Contract and vendor management Managing contracts and relationships with vendors, including managing contract processing through the Contract Lifecycle Management (CLM) system and coordinating security and legal reviews as necessary. 15% - Departmental Coordination Coordination of departmental meetings and events, as well as meetings with external college and district partners. 10% - Administrative duties College, district, and departmental administration duties, including coordinating meetings for training performance success, etc., to fulfill other duties as assigned. Minimum Qualifications Associate's Degree from a regionally accredited institution and two (2) years of administrative office support or related experience providing a wide variety of secretarial, administrative office support, and/or administrative coordination activities. OR An equivalent combination of the conferred degree and directly related full-time work experience as described above, sufficient to successfully perform the essential duties of the job, such as those listed above, unless otherwise subject to any other requirements set forth in law or regulation, may be considered.
