Job Summary

The Senior Philanthropy Coordinator plays a vital role in supporting the philanthropy team in cultivating, soliciting, and stewarding donors. This position ensures the efficient execution of administrative, research, and donor engagement activities, enabling Philanthropy Advisors to focus on relationship-building and fundraising. The Coordinator serves as the backbone of the major gifts program, handling day-to-day operations, maintaining accurate donor data, assisting in moves management; supporting donor communications, donor stewardship, and donor event support.

Essential Functions:

  • Donor Relations and Stewardship - schedule donor meetings, briefings, and internal planning sessions for Major Gifts Officers. Prepare donor packets, briefing materials, proposals, and stewardship reports. Track and follow up on donor correspondence, proposals, and action items. Assist in managing MGO portfolios and updating donor records. (50%)
  • Data Management and Fundraising Operations - Maintain donor records in the CRM (Raiser's Edge), ensuring data accuracy. Run reports and track fundraising metrics to support donor pipeline development. Coordinate gift processing and acknowledgment procedures with finance and database teams. Help manage pledge reminders, receipts, and personalized thank-you communications. (20%)
  • Collaboration and Communication - Collaborate closely with other development staff, including annual giving, events, and communications teams. Ensure alignment with the broader development strategy and organizational goals.
    Support special projects and initiatives as assigned by the Director of Philanthropy or MGOs. (15%)
  • Research and Administrative Support - Conduct donor and prospect research using internal tools and external databases. Prepare donor profiles and bios for cultivation and solicitation meetings. Support the identification of new prospects for MGO portfolios. (15%)

Education:

  • Bachelor's Degree or 4 years of additional related experience required.

Work Experience:

  • 1-3 years experience in Nonprofit Fundraising, Philanthropy, Grant-Seeking Organization, or Non-profit required.
  • 4-6 years administrative or office coordination experience preferred.
    Knowledge, Skills and Abilities:
    • Assist in the cultivation and stewardship of donors through timely communications, acknowledgement and recognition; thank-you letters, receipts, stewardship reports; support coordination of donor meetings, events, and site visits.
    • Maintain accurate donor and gift records in the donor database; track donor interactions and run reports for analysis and segmentation; support execution of annual campaign, major gift initiatives, and grant submissions.
    • Assist with planning and execution of fundraising and donor events; including logistics, RSVPs, and follow-up; coordinate with vendors and volunteers as needed.
    • Draft fundraising appeals, email newsletters, and donor updates; collaborate with communications team to ensure consistent messaging and branding in philanthropic materials.
    • Provide calendar management and meeting support for philanthropy team; track expenses, manage filing systems, and handle special projects as needed.
