Position Summary

The Executive Assistant to CFO/VP-GO&P acts as primary hands-on support and partner to our Chief Financial Officer and our VP of Global Operations & Procurement. Reporting directly to the CFO, the Executive Assistant delivers executive support. This role involves managing daily activities and providing various complex administrative services in a proactive and detail-oriented way.


The ideal candidate is proactive, self-motivated, and ready to take initiative. To excel, you should thrive in a fast-paced and dynamic environment, responding to requests promptly and efficiently. You must be able to exercise good judgment in various situations, possess strong written and verbal communication skills, and exhibit excellent organizational abilities; all while maintaining a high level of confidentiality, as you balance the needs of two C-suite leaders.

Job Description

Executive Support
* Completes a broad variety of administrative tasks for both the CFO and VP-GO&P including managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
* Provides a bridge for smooth communication between the CFO, VP- GO&P and other senior leaders, demonstrating leadership to maintain credibility, trust and support with senior management staff.
* Works closely and effectively with the CFO and VP- GO&P to keep well informed of upcoming commitments and responsibilities, following up appropriately.
* Provides leadership to build relationships crucial to the success of the organization and manages a variety of special projects for the CFO and VP- GO&P, some of which may have organizational impact.
* Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CFO's and VP- GO&P's ability to effectively lead the company.
* Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
* Assists in preparing general, statistical, and presentation correspondence; proofreads requests, and organizes project, documentation, and filing needs for the Executives.
* Manages documentation and other confidential matters.
* Provides back-up assistance for administrative team as needed.



Board Support and Liaison
* Maintains discretion and confidentiality in relationships with all board members
* Adhere to compliance with applicable rules and regulations set in bylaws regarding board and board committee matters, including advance distribution of materials before meetings in electronic/paper format.

Education and Experience Requirements

* Associate's degree required, with Bachelor's degree preferred.
* Min 8 years of experience supporting senior executives, with at least 3 years supporting C-Suite leaders preferred.
* Experience and interest in internal and external communications
* Proficient in Microsoft Office/365 (Outlook, Word, Excel, Power Point, SharePoint, Teams and Forms), Adobe Acrobat, and Social Media web platforms.
* Strong organizational, time management, and problem-solving skills.
* Ability to work independently and collaboratively in a fast-paced environment.
* Attention to detail, accuracy, and confidentiality.
* Demonstrated willingness to support the needs of the greater team, beyond just their C-suite partners.
