The Opportunity:
Mattel has an exciting opportunity to join its Law Department. Mattel's Law Department supports the values and goals of the company by providing expert, creative, and timely service to all Mattel businesses and support functions. We operate in accordance with the highest standards of judgment, integrity, and ethical leadership, to find creative solutions that prudently manage risks and contribute to Mattel's success.
We are looking for a talented Administrative Asst to join the Global Employment Law section of the Law Department. This position is responsible for providing day-to-day administrative support, and requires excellent organization skills, attention to details, and effective communication.
This position will be in person at Mattel's headquarters in El Segundo, California
What Your Impact Will Be:
- Maintain, organize, and track deadlines, records, and files related to employment law matters, including litigation and administrative proceedings
- Assist with the management of billing, matter management, and document/records management systems, as well as other systems used by the Law Department
- Assist with updating electronic recordkeeping and physical files, as needed
- Assist with various budgeting matters, including forecasts and accruals
- Manage e-billing payments, including interfacing with law firms
- Assist with drafting correspondence and internal reports
- Assist with preparing materials for meetings, including drafting presentations and agendas and compiling information
- Schedule and coordinate various calls and meetings, internal and external
- Handle confidential and sensitive information with discretion and professionalism
- Collaborate constructively with assistants and staff within and outside the Law Department and externally
- Respond promptly to queries
- Assist with projects and task management, as needed
- Scan, copy, and distribute incoming mail and prepare outgoing mail
- Arrange travel, including air, hotel, ground transportation
- Other duties and projects, as assigned
What We're Looking For:
- 5+years prior administrative assistant experience, preferably with litigation, budgets, and billing
- Detail-oriented, with excellent planning, organization, and communication stills (in emails, on the telephone, etc.)
- Experience working with both internal and external partners
- Proficiency with Microsoft Office, legal billing systems, and document/case management tools, and skill at learning new software
- Proven ability to work in a highly confidential environment; ability to maintain a high level of integrity and discretion in handling confidential and sensitive information
- Ability to independently manage and prioritize workload and multiple projects in a fast-paced environment, and complete tasks with efficiency and accuracy
- Ability to complete a high volume of tasks and projects with little guidance, and appropriately react to situations and events that require quick responses or turnaround
- Strong problem-solving skills
- Excellent interpersonal skills, and ability to work collaboratively with a broad range of work styles and personalities and to establish effective relationships at all levels of the organization
- Bachelor's degree preferred
- This role will work in person at our El Segundo, California offices
The base hourly rate for this position is between $27.55 and 34.50
