Position Overview
The Events Specialist reports to the Campus Events Manager and is responsible for executing day-of hospitality plans for both external, revenue-generating events and internal campus events hosted by departments such as the Dean's Office, Community Engagement, and Student Services. The successful candidate will build and maintain strong, collaborative relationships with both internal and external constituents to ensure seamless event execution and client satisfaction.
This is a full-time, on-campus position (40 hours/week), typically Monday through Friday, with occasional evening and weekend events as required. In addition to a competitive salary, the University of Kansas offers a comprehensive benefits package, including:
Job Description 30% - Event Day Coordination & Client Relations
Serve as the primary day-of contact for events, overseeing check-ins, beverage and linen setup, and addressing client questions or concerns. Foster and maintain positive relationships with both internal and external clients to ensure successful events and promote repeat bookings. Act as a liaison between clients and key campus departments, including Information Technology, Campus Facilities, Custodial Services, and Security. 20% - Cross-Department Collaboration Coordinate with various campus departments to support and enhance recurring events such as the Rock Chalk Run, SPS Graduation, Tuesday Teas, Earth Day, and others. 15% - Internal Event Development Assist in planning and executing new internal events aimed at team development and staff recognition for the Edwards Campus community. 15% - Scheduling & Calendar Management Manage space scheduling for both internal and external clients. Respond to new client inquiries and maintain the events team calendar to ensure accurate scheduling and planning. 10% - Inventory & Supplies Management Oversee all event-related inventory, including the organization, maintenance, and procurement of beverages, linens, and other supplies. Develop and maintain efficient internal processes to support event operations. 5% - Direct Student Workers Provide guidance to student workers during event beverage service setup and cleanup, providing clear direction and ensuring quality service. 5% - Other Duties as Assigned Support the events team and campus operations through additional responsibilities as needed.
