Position Overview
The Events Specialist reports to the Campus Events Manager and is responsible for executing day-of hospitality plans for both external, revenue-generating events and internal campus events hosted by departments such as the Dean's Office, Community Engagement, and Student Services. The successful candidate will build and maintain strong, collaborative relationships with both internal and external constituents to ensure seamless event execution and client satisfaction.

This is a full-time, on-campus position (40 hours/week), typically Monday through Friday, with occasional evening and weekend events as required.

Job Description
30% - Event Day Coordination & Client Relations
Serve as the primary day-of contact for events, overseeing check-ins, beverage and linen setup, and addressing client questions or concerns. Foster and maintain positive relationships with both internal and external clients to ensure successful events and promote repeat bookings. Act as a liaison between clients and key campus departments, including Information Technology, Campus Facilities, Custodial Services, and Security.

20% - Cross-Department Collaboration
Coordinate with various campus departments to support and enhance recurring events such as the Rock Chalk Run, SPS Graduation, Tuesday Teas, Earth Day, and others.

15% - Internal Event Development
Assist in planning and executing new internal events aimed at team development and staff recognition for the Edwards Campus community.

15% - Scheduling & Calendar Management
Manage space scheduling for both internal and external clients. Respond to new client inquiries and maintain the events team calendar to ensure accurate scheduling and planning.

10% - Inventory & Supplies Management
Oversee all event-related inventory, including the organization, maintenance, and procurement of beverages, linens, and other supplies. Develop and maintain efficient internal processes to support event operations.

5% - Direct Student Workers
Provide guidance to student workers during event beverage service setup and cleanup, providing clear direction and ensuring quality service.

5% - Other Duties as Assigned
Support the events team and campus operations through additional responsibilities as needed.

Position Requirements
  1. Ability to lift 35 lbs. with or without reasonable accommodation.
  2. Flexible availability, including evenings and weekends, to accommodate event schedules when needed.

Required Qualifications
  1. Associate's degree in Hospitality Management, Communications, Public Relations, or a related field, with a minimum of three (3) years of experience planning, organizing, and executing events - OR a High School Diploma/GED equivalency and five years of relevant professional experience in event management.
  2. Minimum of two years' customer service experience in a professional work environment, with documented evidence in application materials of promptly resolving client inquiries and contributing to customer satisfaction.
  3. Experience collaborating in a team environment, as shown in application materials.
  4. Strong organizational skills and attention to detail as evidenced by application materials.
  5. Two years of experience using Microsoft Office applications (Word, Excel, PowerPoint).
  6. Excellent verbal and written communication skills as demonstrated in application materials.

Preferred Qualifications
  1. Bachelor's degree from an accredited four-year institution in Communications, Public Relations, Marketing, Business, or a related field.
  2. Experience in developing and implementing programs, along with managing constituent relations to support engagement, communication, and program success, as evidenced in application materials.
  3. Application materials that clearly demonstrate professional experience reflecting the candidate's ability to take initiative, exercise sound judgment, and maintain self-motivation. Examples may include leading projects, implementing improvements, making independent decisions, or achieving results with minimal supervision.
  4. Experience with commonly used event management tools, including 25Live for scheduling, Microsoft Teams for collaboration and communication, and Qualtrics for experience management and feedback collection, as evidenced in application materials.
  5. Experience with purchasing goods and services, managing vendor relationships, and ensuring timely and cost-effective procurement, as evidenced in application materials.
  6. Prior experience with and knowledge of University of Kansas policies and procedures, as evidenced in application materials.
