Job Description

The Office of External Relations and Constituent Engagement is seeking a qualified candidate for the position of Manager of Special Events & Conference Services. Primary duties include coordination, oversite, and managing the planning of special events hosted by a school, campus department or division. These special events include and are not limited to:

  • Fundraising galas
  • Conferences
  • Receptions
  • Lectures
  • Various events on and off campus

Characteristic duties include assisting in developing invitations and programs, coordination of mailings, program outlines, event budget management, volunteer and board management, negotiations of space contracts and other event details to ensure they are in line with University protocol and processes. Additional characteristic duties include organization of event logistics, such as, but not limited to:

  • Speaker and topic development
  • Contract negotiations and processing
  • Researching and booking space
  • AV equipment coordination
  • Catering arrangements
  • Event ambiance
  • Seating arrangements
  • Scripting
  • Working with on and off campus vendors as necessary
  • Coordinating and managing virtual and/or hybrid events on virtual platforms

Other duties may include but are not limited to providing backup support for the UMKC Administrative Center Conference Facility assistant.

Shift

This is a full-time, benefit eligible staff position.

This position involves supporting events that require working some early mornings, evenings and the occasional weekend. This position will report directly to the Executive Director, Special Events & Conference Services.

This position is expected to be on campus five days a week, Monday through Friday. Flexible work arrangements, such as telework, may be approved in advance for specific circumstances.

Minimum Qualifications

A Bachelor's degree or an equivalent combination of education and experience and at least 3 years of experience from which comparable knowledge and skills can be acquired is necessary.

Preferred Qualifications

  • Two to three years' experience in large-scale special events, public relations or related area.
  • Successful candidates will have previous experience with volunteer management, as well as proven management of large-scale events.
  • Excellent interpersonal communication skills, the ability to take imitative and work with minimal supervision and to lead in a team setting is a preferred qualification.
  • Experience with virtual event platforms such as Zoom
Anticipated Hiring Range

$52,915.20 - $63,000 annually, commensurate with education, experience and internal equity.
