About the Job

Understand and, with departmental leadership, actively contribute to the planning and advancement of departmental and collegiate goals and other priorities.

  • Inspire, motivate, and effectively oversee administrative teams; foster collaboration with collegiate, functional, and other department and center teams; develop trust and rapport with departmental people (including students, faculty, staff, alumni, and stakeholders)
  • With departmental leadership, plan, oversee, and execute projects; organize priorities; manage time effectively; utilize data to inform decision-making; and continuously improve effectiveness and efficiency of operations
  • Identify issues and connect department people to or consult with the appropriate resources to analyze, develop, and implement effective solutions; positively influence decisions without direct authority

Job Responsibilities

60% Hiring & Onboarding:

  • Serve as primary point person for all hiring and employment-related needs/questions for Graduate student, CS/BU, P&A, Post-Doc, and Faculty employees, working with CFANS HR and processing requests in the PEAK TDX system.
  • Advise department head, faculty and hiring supervisors on hiring needs and best practices to ensure compliance with Departmental, Collegiate, and University policies
  • Management of summer and academic year appointment changes from graduate student (RA and TA) and 9-month faculty appointments
  • Manage effective onboarding processes and resources for new departmental employees, in conjunction with CFANS HR
  • Coordinate and complete visa applications for new visa holders (employees and visiting scholars) and extensions for current visa holders in connection with ISSS
  • Manage departmental Person of Interest / Affiliate appointments, including fielding requests and confirming the established business need for the appointment (seeking Department Head approval when necessary).
  • Manage departmental sponsored accounts, extending current accounts as needed and setting up new accounts
  • Management of Emeritus faculty appointments

30% Strategic Support

  • Assist supervisors with first-level conflict management, performance evaluation, personnel management, problem-solving within the department in partnership with CFANS HR Business Partner.
  • Advise Department Head, Faculty and supervisors on UMN policies and procedures in partnership with CFANS HR.
  • Consult with faculty and Finance team to establish appropriate personnel categories and associated salary and fringe costs for grant budgets.
  • Audit biweekly time, payroll, and absence reports to ensure pay and appointment accuracy

10% Supervisor

  • Overseeing one full-time (1.0 FTE) and one part-time (0.80 FTE) support staff member.
Qualifications

Required Qualifications:
* BA degree with at least 2 years of experience or a combination of related education and work experience to equal 6 years, position involves comparing, verifying and reconciling data to help department achieve overall objectives.
* Prior experience in human resources within a higher education setting
* Demonstrated experience supporting conflict resolution and management efforts

Pay and Benefits

Pay Range: $31.65 - $33.32; depending on education/qualifications/experience

Time Appointment Category: 50% Appointment
